Greetings


We are looking for the perfect person to assist our company's president in his day-to-day professional as well as personal commitments.

This person will be dynamic, proactive and super well-organized. Able to handle many tasks at once, they will thrive in a fast-paced environment, be solution-oriented and eager to get the job done and get it done well


This position involves a blend of administrative tasks to support the overall office operations and personal assistance to the president.


Some of your tasks:


  • Manage and organize office operations, including filing, data entry, and maintaining office supplies.
  • Book travel like flights, hotels, cars rentals for the team and organize trips and schedules
  • Prepare and edit documents, reports, and presentations as needed.
  • Assist in organizing company events and meetings.
  • Manage and maintain the President's schedules, appointments, and personal commitments.
  • Handle personal correspondence and maintain a high level of confidentiality.
  • Assist with personal errands, travel arrangements, and other personal tasks as needed
  • Assist our CFO with monthly credit card reconciliation and other related tasks
  • Act as a liaison between the President and other team members.
  • Provide additional support on personal projects and tasks as assigned
  • Prepare back up and reconciliation of monthly purchases
  • Prepare and audit expense accounts of employees
  • Nights and weekend availability for situations that require immediate attention.
What you will need to be a good fit:

  • 2+ years' experience in a similar role required
  • Excellent organizational and multitasking abilities
  • Strong communication skills, both written and verbal in both English and French
  • Excellent problemsolving skills and attention to detail
  • Proficient with Microsoft Office Suite and other pertinent software, with a focus on Excel for meticulous credit card reconciliation and attachment of invoices
  • Pro at using Outlook for efficient calendar management, including setting reminders and coordinating schedules
  • Ability to handle sensitive information with discretion and confidentiality
  • Positive attitude, flexibility, and a willingness to adapt to changing priorities
  • Bachelor's degree or equivalent experience preferred.
