    About the Position:

    This is a temporary, full time support staff position replacing a bargaining unit employee. This position will start as soon as possible and will end on/or about March 21, - working 35 hours per week at an hourly rate of $27.81, reporting to the Deans of the School of Fire Science, Health and Community Services.

    This role is responsible for administrative support to the senior leadership team for the School, as well as administrative, secretarial and receptionist support to the department as a whole, and maintains divisional records.

    Specific Accountabilities:


    •Manages confidential and routine correspondence for the Deans School of Fire Science, Health and Community Services and the Dean School of Nursing

    •Assists course leads and program coordinators to ensure that course outlines are being updated in COMMS

    •Verify payroll data information for all part time, sessional , partial load and contract services

    •Acts as the first point of contact and manages all academic correspondence and records such as; field excursion documentation, requests or inquiries from prospective and current students, employees of the college and the community

    •Prepares and organizes meetings, and provides administrative support as needed; including all Program Advisory Council meetings, student forum, school meetings, faculty SWF meetings

    •Helps assess the need for work study and EBAT students

    •Maintains and manages the Dean's calendar and daily schedule, assisting with travel arrangements and processes associated expenditures

    •Responsible for School office and instructional supplies. Distribution of outgoing and incoming mail for the school

    •Coordinates COMMS, SPL's, exam requirements as directed by the Dean

    •Tracks and monitors transfer credit request process and processes PLA requests

    •Assists the Dean with processing grade changes ie. NG and I grades

    •Establishes HR orientation processes for new faculty - computers, office equipment and ensures ongoing updates for all faculty

    •Monitors and schedules all performance reviews in collaboration with the Dean and HR

    Qualifications:


    •Minimum of 2 year diploma in Office Administration, or equivalent

    •Minimum of 3 years experience in an administrative office environment

    •Knowledge of programs/courses

    •Excellent communication and interpersonal skills

    •Excellent organizational, time-management skills

    •Excellent writing skills

    •Good conflict resolution skills

    •Demonstrates respect for confidentiality

    •Respectful of needs of contacts - internal/external

    •Independent, Self-starter

    •Capable of multi-tasking

    •Ability to deal professionally and apathetically with students demonstrating anxiety related to academic and personal stresses)

    •Knowledge of CIS and Web Advisor is an asset
