SCOPE

Reporting to the Manager, Student Recruitment, the incumbent is responsible for providing welcoming and professional front-line customer service in support of the Welcome Centre and Office of Student Recruitment.

The Welcome Centre presents a favorable impression of the University and provides basic information, arranges tours and makes referrals for many types of visitors, the majority being prospective student and their families.


PRIMARY RESPONSIBILITIES

  • Assist with all aspects of the operation of the Welcome Centre. Maintain office space which is welcoming, accessible and which contains relevant information for potential students.
  • Greet and assist visitors. Interact with prospective students to identify areas of academic interest, assist them and/or parents to connect with the appropriate campus resource. Schedule appointments for guests with appropriate Concordia staff.
  • Respond to requests for recruitment materials. Prepare shipments of materials for school visits and various educational fairs.
  • Monitor daily campus tours. Assist with planning logistics for campus tours, admission information appointments, and other future student events.
  • Maintain inventory of material (banners, tablecloths, brochures etc).
  • Use CRM to schedule appointments, events and campus tours. Assist with data cleanup and entry in the CRM.
  • Maintains a database of schools and coordinates the regular mailings of recruitment publications.
  • Provide assistance at the annual Open House events.
  • Assist with the seasonal mailing of recruitment materials.
  • Perform other duties in support of the operations of the unit.

QUALIFICATIONS

  • Diploma of College Studies (2 year preuniversity DEC) and two to four years related work experience in customer service.
  • Good knowledge (Level 4) of spoken and written English and French to effectively communicate with potential students, their influencers, faculty and staff as well as to draft correspondence.
  • Basic knowledge of Word and Excel.
  • Excellent organizational, interpersonal, relationshipbuilding and communication skills to interact effectively and sensitively with students, staff, faculty and external contacts and demonstrate comfort in speaking to large groups of people. Keen attention to details.
  • Ability to multitask in a highvolume environment and meet established deadlines.
  • Aptitude to work in a serviceoriented environment as both a member of a team and independently.
  • Ability to work outside normal operating hours.
  • Background in frontline service industry is an asset.
  • Knowledge of Student Information System (SIS) is an asset.
  • Familiarity with customer relationship management tools is an asset.
  • Knowledge of additional languages is desirable.
  • Approachability (is sensitive and patient with others) and composure (is a calming influence in a difficult situation) are desirable qualities.
  • Experience with mass mailings and inventory and distribution systems is an asset.

Since this position supports academic and administrative functions of the university, proficiency in English and French, as indicated, is required.
