The Medical Office Assistant, Data Reconciliation, will be responsible to engage with surgeons' offices across MSH ambulatory care, and may include tasks such as:

  • Data Entry related to WTIS in surgeon's offices and on CCO website
  • Assisting clinics to create or streamline their existing surgical wait lists
  • Phoning patients to validate past and current surgery details
  • Keeping detailed records of data reconciliation work
  • Manage incoming and outgoing mail
  • Other administrative duties as needed, such as but not limited to, supporting clinic admins in their daytoday tasks, scheduling meeting and taking minutes


  • Job Requirements

  • Successful completion of postsecondary education in office administration or related field of study from an accredited educational institution
  • Minimum one (1) year recent and related administrative experience, preferably in a healthcare or academic setting
  • Educational or work experience with office administration
  • Previous experience with medical records and maintenance of an electronic medical record (EMR) program would be an asset
  • Previous experience in outpatient surgery would be an asset.
  • Previous experience with Wait Time Information Systems (WTIS) and CCO reporting requirements would be an asset
  • Advanced technical skills and proficiency with MS office suite of software and others.
  • Superior organization skills and ability to prioritize competing tasks
  • Strong work ethic, professionalism, dependability and reliability
  • Ability to make decisions, exercise judgment and take initiative in dealing with confidential information and/or in responding to inquiries
  • Flexible with ability to work efficiently in a fastpaced, multitasking and dynamic environment
  • Excellent oral and written communication skills are required, excellent interpersonal and professional skills, an ability to work with established team and/or independently as required
  • Demonstrated satisfactory work performance and attendance history
