The International Union of Operating Engineers Local 115 is seeking a Part-time Permanent Administrative Assistant to provide direct administrative services in our Sparwood office.

Part-time Permanent Administrative Assistant


Hourly rate of pay:
$30.97


Location:
Burnaby, BC


Hours: 20 hours per week - Monday to Friday; 9:00am to 1:00pm

The Administrative Assistant must present a positive and professional image to all visitors, suppliers, inquiries, and other persons. This position will be required to maintain confidentiality and to professionally interact with employees, management and the public.


Key Responsibilities:


  • Assist Business Representative in completing documentation and contacting members.
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
  • Coordinate the preparation and submission of summary briefs, draft reports, background documentation, and research.
  • Maintain member records within internal database.
  • Prepare travel schedules, and maintain work schedules and calendars.
  • Ensure adequate levels of office supplies and place orders as required.
  • Coordinate postal and courier services.
  • Transcribe letters and meeting minutes.
  • Other duties as required.

Education and Experience:


  • Secondary school diploma required.
  • A minimum of 3 to 5 years' experience in administrative role.
  • A postsecondary diploma in business administration or relevant discipline preferred.

Requirements:


  • Intermediate knowledge and use of Microsoft Office Suite (Outlook, Word, and Excel).
  • Strong verbal communication and interpersonal skills together with a customer service focus and a professional and respectful approach.
  • Strong organization skills with the ability to balance competing priorities and effectively deal with changing situation or priorities.
  • Ability to work independently.
  • Ability to prioritize tasks with mínimal supervision while working within broad guidelines.
  • Proven time management and multitasking skills.
  • Proven ability to develop and maintain business relationships with all levels within the organization and with other business associates.
  • Ability to maintain a high degree of accuracy and attention to detail.
