Vice President

The Role & Key Responsibilities:


Oversee Daily Operations:

  • Ensure Fundserv processing is complete, accurate and that file errors are promptly corrected.
  • Ensure Fundserv connections are working at all times.
  • Ensure daily and evening batch jobs are executed and processed accurately.
  • Manage and monitor the daily operations of the backoffice processing for fund companies.
  • Ensure efficient and accurate processing of financial transactions, including trade settlements, reconciliations, and account maintenance.
  • Implement and enforce operational policies, procedures, and controls to ensure compliance with industry regulations and internal standards.
  • Coordinate with various teams, such as accounting, compliance, and customer service, to ensure seamless workflow and resolve operational issues.

Team Management:

  • Supervise and provide leadership to a team of operations staff, including training, performance evaluation, and goal setting.
  • Foster a positive work environment and promote teamwork, collaboration, and professional development.
  • Allocate resources effectively to meet operational demands and maintain productivity levels.
  • Identify and address any staffing needs, such as hiring, onboarding, and training new employees.

Process Improvement:

  • Identify areas for operational improvement and develop strategies to enhance efficiency, accuracy, and productivity.
  • Analyze existing processes and workflows to streamline operations and reduce manual effort or bottlenecks.
  • Implement automation and technology solutions to optimize operational processes and improve data integrity.
  • Regularly review key performance indicators (KPIs) to assess operational performance and make datadriven decisions for improvement.

Risk Management and Compliance:

  • Ensure compliance with regulatory requirements, industry standards, and internal policies related to fund processing.
  • Develop and maintain a robust risk management framework to identify, assess, and mitigate operational risks.
  • Conduct periodic internal audits and controls testing to ensure adherence to established policies and procedures.
  • Collaborate with compliance and legal teams to address any regulatory issues or inquiries.

Client Relationship Management:

  • Build and maintain strong relationships with fund companies and other external stakeholders.
  • Serve as a primary point of contact for client inquiries, concerns, and escalations.
  • Understand client needs and provide proactive solutions to meet their expectations.
  • Collaborate with business development teams to identify opportunities for business expansion and client retention.

Reporting and Analysis:

  • Prepare and present operational performance reports to management and other stakeholders.
  • Analyze operational data to identify trends, patterns, and opportunities for improvement.
  • Develop and monitor key metrics and performance indicators to assess operational effectiveness.
  • Provide recommendations for strategic decisionmaking based on operational insights.

Vendor Management:

  • Oversee relationships with thirdparty vendors, service providers, and outsourcing partners.

Stay Updated on Industry Trends:

  • Keep abreast of industry developments, regulatory changes, and emerging technologies relevant to back office processing for fund companies.
  • Attend industry conferences, seminars, and workshops to enhance professional knowledge and network with peers.
  • Share insights and best practices with the team and implement innovative ideas to drive operational excellence.

Skills Required:


  • Approximately 10+ years' experience
  • A strong understanding of Fund Administration services and/ or Investor Services/Transfer Agency industry.
  • A high degree of commercial awareness and client service focus
  • Strong leadership skills and supervisory experience of other professionals
  • Excellent organizational and communication skills and the ability to work on own initiative consistently producing accurate and timely work
  • Good interpersonal skills to develop working relationships internal and external clients.
  • FundServ technology experience would be an advantage.
  • Highly organized
