Human Resources Associate - Permanent Full-Time


Reporting to the Manager, People & Culture, the Human Resources Associate acts as the first point of contact for staff and visitors to the HR Department, responding to general enquiries, greeting guests, and referring issues to HR team members as appropriate.


Responsibilities include:


  • Prepares, posts and maintains job postings on internal and external recruitment sources.
  • Books interviews, prepares interview package for interview panel and confirms room setup.
  • Participates as a member of an interview panel as required.
  • Conducts reference checks and provides results of reference check to the Hiring Manager.
  • Ensures the recruitment process adheres to applicable laws, policies and collective agreements.
  • Creates and maintains employee file and ensures all required information is appropriately stored in the employee's file, that the files are stored and maintained in accordance with Hospital Policy.
  • Updates required human resources databases with employee information, including pension and benefit software and ensures strong data accuracy.
  • Provide employees with general compensation information and appropriately escalate employee compensation questions to the Senior Human Resources Business Partner for resolution.
  • Respond to employee benefit and compensation inquiries and ensure unresolved inquiries are escalated to the Senior Human Resources Business Partner for resolution.
  • Supports the grievance processes including: create, maintain and track grievance case files, collect, prepare and distribute supporting documentation, correspondence and minute taking, coordinate grievance meetings in accordance with collective agreement and/or Ministry of Labour Employment Standards Act (ESA) Section 48 or 49 requirements).
  • Supports the Human Resources department, and the management team, to ensure Human Resources programs are administered and implemented in accordance with Human Resources policies.
  • Undergraduate Degree in Business/Human Resources or other related field or successful completion of a Diploma in Human Resources field required.
  • Minimum one (1) year relevant work experience in HR or Labour Relations required. Experience in healthcare is preferred.
  • Current knowledge of, or the ability to understand and interpret as required: Ontario Employment legislation (ESA), WSIB, Human Rights Code, Accessibility for Ontarians with Disabilities Act, Labour Relations Act, Occupational Health and Safety.
  • Excellent knowledge of Windows Operating System, Microsoft Word, Microsoft Excel, Microsoft Outlook.
  • Strong written and verbal communication skills.
  • Ability to work with highly sensitive and confidential material.
  • Exceptional organizational and time management skills to manage competing priorities.
  • Demonstrated ability to exercise tact and discretion, along with good judgment and problem solving.
  • Professional and customer service oriented with an ability to work effectively in a team environment with a variety of internal and external stakeholders.
