THE OPPORTUNITY


Western Forest Products has an exciting opportunity for an
Office Services Coordinator to join our
Corporate Office based in
Vancouver, BC. This role is responsible for acting as a first point of contact in the office.

Working closely with various departments and employees including executive level management, this role is an integral part of maintaining a high standard of customer service and professionalism.


What You'll Do:

You will be responsible for ensuring smooth and efficient functioning of the office, you will be seated at the reception desk to handle inbound calls and visitor queries.

You will also ensure the office is adequately stocked with supplies, copy machines are well maintained, and providing general administrative support for Management and Executives as required.


Who You Are:

As the face of the office, you will be a friendly, professional and approachable individual that leaves a lasting positive impression to our guests and visitors.

You will come with more than 2 years of office administration experience and have superior customer-oriented telephone etiquette.

    $42,000 $52,000 based on skill level, qualifications, and experience

Work Environment:
This role is to be performed in person at our Vancouver Corporate Office.


RESPONSIBILITIES

Customer Service

  • Answers and directs telephone calls; greets and welcomes visitors;
  • Ensure all guests are welcomed to the office;
  • Coordinates meeting room bookings; assists coordinating events including catering and meeting set up and clean up;
  • Maintain pristine office space, boardroom, meeting rooms, and reception area;
  • Organize and maintain coffee and tea supplies, maintain kitchen, dishwasher and coffee equipment;
  • Provide backup support to procurement team as needed

Financial Performance

  • Accounts payable coding;
  • Invoice reconciliation;
  • Expense Management for senior leaders as needed.

Administration

  • Order office supplies, ensure copy machines are supplied and maintained;
  • Distribute mail and faxes; arranges couriers;
  • Prepare and compose documents and correspondence;
  • Support legal team in file management of contracts; and
  • Miscellaneous duties: filing, scanning, word processing tasks, and general administrative support for Management and Executives as required.

QUALIFICATIONS

Education And Experience

  • Postsecondary education in commerce, business administration or similar field;
  • 23 years office administration or equivalent experience;
  • Superior customeroriented telephone etiquette with outstanding interpersonal skills.

Skills, Knowledge and Required Competencies

  • Excellent written and verbal communication skills;
  • Proficient in Microsoft Office (Word, Excel and PowerPoint);
  • Strong attention to detail; and
  • Friendly, approachable, committed, and dynamic attributes welcome.
