About You
You are an experienced, highly organized, detail-oriented Project/Construction
Administrator joining a team of dedicated professionals in managing our real estate portfolio.
You will provide maternity leave coverage with a potential for the position to become a long-term full-time opportunity as we grow.
Under the direction of the ProjectManager (PM), you will provide support to our team handling development, construction, and wide range of administrative duties.
About the Job
Your responsibilities will include:
Construction Administration
- Assist in the preparation, review, and monitoring of construction documents including Request for Quotations / Proposals, Requests for Information, Change
- Receive, distribute, and maintain constructionrelated records, including design documentation, shop drawings, and meeting minutes;
- Receive and organize invoices and ensure they are forwarded for approval for processing according to subcontract and suppliers' payment requirements;
- Assist in the review and coding of invoices, track cost commitments todate, and reconcile invoices with PO's while working closely with the PM to monitor project costs;
- Work closely with Accounting in processing Construction Draws to ensure invoices and work in progress are reported accurately;
- Assist in the hiring process of labourers including ad placements and ensuring relevant employment forms are complete and submitted to human resources;
- Communicate with subcontractors to resolves issues regarding invoices and other concerns;
- Manage and ensure subcontractor deliverables are met (e.g Certificate of insurance, WCB, Statutory Declaration) in accordance with contract requirements and applicable law;
- Assist in the creation of Operation and Maintenance manuals at project close out;
- Assist in tracking security bonds and holdbacks;
- Work with vendors to coordinate development allowances and incentives;
- Manage general correspondence with subcontractors and third parties;
- Assist with development, financing and marketing documentation as required;
- Other tasks as assigned by the Project Manager or Senior Management.
- General administrative duties including mail, courier, office supply tracking and order, and response to general inquiries;
- Assist with file management;
- Assist in managing corporate filings, coordinating with firm's solicitor and Property
- Other duties as assigned by management.
Qualifications:
- Experience in real estate development and construction preferred;
- Experience in construction contract administration;
- Familiarity of federal, provincial, and municipal regulatory requirements affecting management of subcontracts;
- Ability to prioritize effectively, detail oriented, and exceptional organizational skills;
- Ability to work independently and in a team environment;
- Advanced written and oral communication skills with proficiency in Excel, Word,
