    Position Overview

    Under the direction of the Director of Quality Patient Services and Decision Support, Director of Access & Transition or the Coordinator-Volunteer Service, the Administrative Assistant II is responsible for reception, clerical and operational support as well as data entry for the departments as assigned.

    Experience

  • Data base entry experience required.
  • Previous experience working in an administrative/secretarial support capacity in a similar or directly related position required.
  • Previous experience in accurately recording and transcribing minutes of meetings required.
  • Minimum two years related experience required; supervisory experience preferred.
  • Experience working with volunteers and as a volunteer would be an asset.
  • Experience monitoring and reconciling financial reports, preparing and processing invoices, accounts payable and receivable, budget documents and other routine financial records preferred.
  • Education (Degree/Diploma/Certificate)

  • Complete high school education, Manitoba Standards, required.
  • Successful completion of a recognized administrative secretarial program or related degree required.
  • Certificate in Introduction to Volunteer Management or willingness to complete same.

    Qualifications and Skills

  • Demonstrated proficiency in the use of Microsoft Office Word, Excel, Publisher, PowerPoint and Outlook.
  • Advanced knowledge of database software required. Proven ability to be able to troubleshoot when required.
  • Knowledge of volunteer management software.
  • Knowledge of staff scheduling and payroll software. i.e. ESP.
  • Computer expertise setting up and maintaining automated control systems using excel spreadsheets and word tables required.
  • Typing 50 – 60 wpm required.
  • Ability to prepare presentations, newsletters, posters and brochures using Publisher, digital camera, and PowerPoint software for management staff required.
  • Must be a team player with outstanding interpersonal, communication, problem solving and organizational skills.
  • Must be able to handle a diverse workload and function with limited guidance, supervision and monitoring.
  • Excellent oral, written and interpersonal skills.
  • Ability to work effectively in high traffic area with frequent interruptions.
