Description
The Receptionist/Admin Assistant is responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, managing inventory, filing, and assisting sales and other departments as needed


Schedule:

We are looking to hire a sales receptionist for evenings and weekends.
Roughly 30-35 hrs/week. Evening shifts would be 4:00pm-9:00pm, Saturdays are 8:00am-6:00pm, and Sundays are 10:00am-5:00pm.


We are also looking for someone who would be willing to cover shifts as needed; this includes day, evening and weekend.

There is always opportunity for more hours. We have two stores that are always needing more coverage.

Primary Duties and Responsibilities:


  • Efficiently help customers (internal and external) with the highest level of service
  • Answer and direct all incoming telephone lines on a multiline switchboard
  • Service all client inquiries in a prompt and effective fashion
  • Perform basic bookkeeping, filing, and clerical duties
  • Process payments for service department, deposits, online payments, etc.
  • Manage new and used vehicle stock in process
  • Tag and manage keys, organize factory vehicles, PDIs, etc.
  • Request and organize dealer trades, payment, transportation, etc.
  • Dispatch drivers and arrange paperwork
  • Scan and file all used vehicle files according to our systems
  • Gathering ICBC permits as required.
  • Assisting the sales team with necessary documents required.
  • Demonstrate behaviors consistent with the company's expectations as it pertains to interactions with customers, colleagues and vendors

Qualifications:


  • Minimum of 612 months of reception / customer service experience required.
  • Exceptional telephone etiquette, experience using a paging system and multiline phone system.
  • Excellent customer service and interpersonal communication skills, ability to work as a team, and also be able to work independently.
  • Ability to multitask in a busy / stimulating environment.
  • Businesscasual attire required.
