Position Summary:


The McGill Career Planning Service (CaPS) supports undergraduate and graduate in exploring their career options, and increasing their employability through access to meaningful employment and skills building experiences and the development of lifelong career management skills.

The Co-Curricular Program Administrator supports student, faculty and staff users of the myInvolvement platform, McGill's online portal for out-of-classroom learning and development opportunities.

The Co-Curricular Record is an official recognition of a student's participation in various learning activities, such as awards, enriched educational opportunities, personal and professional development, campus and community engagement and student-led initiatives.


Primary Responsibilities:

  • Administer the myInvolvement / cocurricular records program, ensuring that administrative units and student organizations are provided with the appropriate access and support; students can access and personalize their cocurricular record, and that members of the McGill community are provided with accurate timely answers to questions about the myInvolvement platform and the cocurricular record.
  • Assess and resolve administrative and technical problems related to the cocurricular records platform and program; propose administrative and technological solutions to tracking cocurricular activities and programs.
  • Participates in the development of presentations. Presents to various internal / external clientele.
  • Drafts and delivers hands on training sessions on the usage of the myInvolvement platform for both staff and students. Collaborate with key stakeholders to ensure that information/data from various sources (e.g., data from myFuture, BSAC, etc.) can be incorporated into myInvolvement and the cocurricular record. Ensure that these needs are addressed and prioritized in the next iteration of the platform (if it cannot be addressed immediately). Maintain a prioritized 'wish list' for inclusion on future iterations of the platform.
  • Work with stakeholders related to IT data transfer needs (e.g. data from myFuture [CaPS], BSAC [SSAO], etc.) and draft BNS's as needed
  • Liaise with staff and students to advance and promote cocurricular / student engagement initiatives. Address and/or respond to both general and specific questions concerning myInvolvement / cocurricular records.
  • Collaborate with faculties/departments/units and students to assess cocurricular recording needs in accordance with established practices and procedures.
  • Working with Assessment team to develop assessment of program, produce reports and compile statistics and data, year over year reports, for the McGill Community
  • Design and develop new tools / process documentation to facilitate staff and student understanding of the cocurricular records.
  • Upload data on regular basis, and support stakeholders in pulling existing reports from myInvolvement.
  • In collaboration with Assessment Team and various units, participate in the development of tracking / monitoring program for student skills acquisition and progress, using myInvolvement or other electronic tool.
  • In collaboration with CaPS and S2 communications, participates in the development and maintains resources to promote use of myInvolvement to students and staff (website, documents, presentations, tools, etc.)

Other Qualifying Skills And/Or Abilities:

  • Knowledge and experience with cocurricular program administration an asset.
  • Knowledge of Symplicity and Engage products an asset.
  • Strong organizational and problem solving skills with a complete understanding of resource utilization and planning.
  • Ability to work effectively on more than one project at a time.
  • Demonstrated ability to work within a diversified team to a successful and common goal.
  • Excellent interpersonal and customer service skills.

  • Demonstrated ability to maintain, safeguard and share confidential information through secured and institutionally approved locations.
  • Excellent written and verbal communications skills.
  • Excellent knowledge of relevant software is required with Outlook, Word, Excel, Powerpoint, Sharepoint and Project.
  • Knowledge of French and English. McGill University is an Englishlanguage university where day to day duties may require English communication both verbally and in writing.

Starting salary:
$56,317.95.
