Administrative Co-ordinator


Job Summary:


As an Administrative Coordinator for our daycare center, you will play a vital role in ensuring the efficient management of administrative tasks and facilitating the seamless operation of the facility.

Your responsibilities will encompass a wide range of administrative duties, including office management, record-keeping, communications, and coordination with staff, parents, and external stakeholders.


Key Responsibilities:

OFFICE MANAGEMENT: Oversee the day-to-day operations of the administrative office, maintaining a welcoming and organized environment for parents and staff.

CLIENTELE & FINANCE ASSISTANCE:Collaborate closely with the Accountant to maintain accurate records of attendance, enrollment, billing, expenses, shifts, and other important documents, utilizing a combination of online and offline systems to ensure meticulous financial management.

STAFF MANAGEMENT ASSISTANCE:Assist in the management of staff members by actively participating in hiring, training, scheduling, and team building, utilizing digital tools (such as Connecteam) to enhance efficiency in these processes.

BUSINESS DEVELOPMENT & BEST PRACTICES:Contribute to the development and implementation of policies and procedures by staying updated on the latest advancements and best practices in early childhood education, promoting continuous improvement and supporting business growth.

COMMUNICATIONS AND RELATIONSHIP BUILDING:Cultivate and nurture relationships with parents, vendors, and educators, actively seeking feedback and utilizing digital channels to effectively communicate updates, opportunities, and maintain open lines of communication.

FACILITY DESIGN AND BRAND ASSISTANCE:Collaborate closely with the marketing director to maintain and enhance the daycare facility's offline design and brand identity, ensuring consistency in messaging and visual representation across digital platforms and marketing materials.

ENROLLMENT ASSISTANCE: Collaborate with the enrollment team to process new enrollments, complete paperwork, and conduct facility tours for prospective parents.

GENERAL ADMINISTRATIVE TASKS: Undertake various administrative tasks, including filing, data entry, and supporting other departments as required.


By effectively balancing the responsibilities of overseeing the facility's daily operations and managing digital procedures, the individual in this role plays a critical part in supporting the Daycare Facility Director and ensuring the smooth functioning of the daycare facility.


Qualifications:


  • ECE/ECEA Designation and Licensing is a mandatory requirement.
  • Criminal Records Clearance from the Province of BC and Vulnerable Check Clearance from the Police Required (having it onhand is an Asset)
  • Minimum of 12 years of experience in a Leadership role
  • Strong Attention to Details and Accuracy is Required.
  • Proficiency in Google Suites (Drive, Docs, Sheets) is Required.
  • Food Safe Certification is an Asset.
  • Driver's License is an Asset.
  • Current First aid and CPR certification is an Asset.

Expectations:


  • Strong communication and interpersonal skills, including the ability to work collaboratively with staff, parents, and caregivers.
  • Demonstrated ability to manage budgets, supervise staff, and develop and implement policies and procedures.
  • Strong proficiency in Computer and Technical Skills is expected.
  • Knowledge of early childhood education best practices and regulations related to childcare is an Asset.

Salary:
$20.00-$24.00 per hour
