We are currently seeking an Administrative Officer for the Strategic Policy Branch in the Programs Division.

Qualifications:

Essential:

  • Experience in financial management, including: financial analysis and reporting; processing accounts payable/receivable; preparation of complex budgets and cashflows.
  • Experience working with SAP (or similar database) as it relates to financial and human resources activities.
  • Extensive experience providing administrative coordination and support to senior management, including managing filing systems, coordinating records management, coordinating meetings and management of office equipment and supplies.
  • Experience managing confidential documents, correspondence, authority seeking documents and other highly sensitive materials on behalf of senior leadership.
  • Excellent interpersonal skills with the ability to work with all levels of senior and executive management.
  • Strong organizational and time management skills with ability to prioritize work to meet tight deadlines.
  • Excellent attention to detail with the ability to maintain a high level of accuracy.
  • Strong ability to anticipate needs, take initiative and work independently.
  • Written communication skills to draft, format, edit and proofread correspondence and reports.
  • Strong verbal communication skills to communicate clearly and professionally with internal and external stakeholders.
  • Experience using Microsoft Office programs including Word, Excel, Outlook and Adobe.

Duties:


Under the direction of the Executive Director, Strategic Policy Branch, the position is responsible for administration, office management, financial accounting and supervision of processing activities handled by administrative staff; monitoring analysts' assignments and coordination of branch assignments.

The incumbent will also maintain proper accounting records.

The Administrative Officer will be required to perform tasks/activities, or direct tasks/activities on their own initiative, on behalf of the Executive Director; to this end they will ensure that priorities are met and will provide direction and assistance to all levels of Branch management and staff.

The Administrative Officer must be able to communicate effectively with departmental senior management, Branch staff, the Assistant Deputy Minister's Office, members of the public and other stakeholders.
