The City of Port Alberni is currently looking for an
Executive Assistant to join a progressive and dynamic organization that provides a full range of programs and services to taxpayers.
Reporting to the Chief Administrative Officer (CAO) this position will perform a wide range of complex and confidential administrative functions in support of Mayor, Council and the CAO.
Responsibilities:
- Provides confidential administrative support to the CAO, Mayor and Council
- Acts as a primary point of contact for the offices of the CAO and Mayor, and is responsible for the effective administration of the related daytoday activities
- Manages the flow of communication and information on behalf of the CAO and Mayor as appropriate
- Prepares correspondence, documents, agendas, briefing documents, various reports, presentations, and other materials
- Coordinates appointments and schedules meetings and events
- Takes meeting minutes as required; follows up on meeting action items and related commitments
- Assists with research and special projects
- Effectively prioritizes issues, work requirements and deadlines
- Perform related work as required
Qualifications:
- Postsecondary education in public sector administration, business administration or a related field
- 3 to 5 years' experience providing administrative support at an executive level, preferably in a municipal government setting
- An equivalent combination of education and experience may be considered
- Excellent organizational, communication, customer service and leadership skills
- Ability to establish and maintain effective working relationships and work in a collaborative manner
- Ability to manage multiple and changing priorities in a high pressure and time sensitive environment
- Proactive and selfmotivated
