The File Maintenance Clerk assists in the day-to-day operations of the Human Resource Department, including organizing and uploading confidential employee digital files to our file management system, some data entry of information into the Human Resources Information System (HRIS), and various other clerical and administrative duties.


In this role, you will:


  • Sort and upload confidential digital employee files such as new hire documents and scanned beneficiary forms to our file management system
  • Maintain files and filing system, adding documentation to employee files after the completion of each pay period, and securing files in approved manner
  • Assist in the accurate and timely data entry of associationwide employee data into HRIS database during peak periods and/or as required
  • Reviews documents for completion and follows up with supervisors for missing or incomplete documents as needed
  • Other duties as assigned

  • Be between 15 to 30 years of age at the start of the employment;
  • Have been registered as fulltime student in the previous academic year and intend to return to school on a fulltime basis in the upcoming academic year;
  • Be a student in a secondary, postsecondary, vocational or technical program;
  • Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and
  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.

_Other Qualifications:
_


  • Minimum of one year relevant work experience
  • Completion of some postsecondary courses in related field preferred
  • Knowledge or previous experience using a data base and maintaining integrity of the data and system
  • Excellent organizational and time management skills coupled with a heightened awareness of the importance of attention to detail required for employee data
  • Proficiency using Microsoft Office including Word, Excel, Outlook
  • Ability to maintain confidentiality; discretion
  • Excellent written communication skills
