About UsWe are a premium surf travel company designing fully curated, custom surf trips to 20+ destinations worldwide. We are a small team and are looking to significantly improve our internal systems and automation.
Current Stack
- Notion (core knowledge base + internal trip data)
- Intercom (client communication + inbound enquiries)
We spend a large amount of time:
- Asking clients qualifying questions
- Dialing in trip preferences
- Referencing stored data in Notion
- Manually compiling information to build trip proposals
A lot of valuable destination data, logistics, and operational details are stored in Notion — but they are not efficiently integrated into our workflow.
We want to:
- Improve initial client intake & communication flows (via Intercom) - Main priority.
- Create smarter use of APIs within Notion
- Reduce repetitive manual input
- Build a more structured and scalable workflow from enquiry to trip build
- Better connect Notion + Intercom
- Integration with WeTravel (trip proposals & payments)
- Integration with additional tools such as Figma to further streamline proposal creation and client presentation
We are looking for someone who can:
- Audit our current system architecture
- Design an efficient workflow for client intake → trip build → proposal framework
- Implement API integrations between Notion and Intercom
- Advise on database structure inside Notion for better automation
- Reduce manual friction in trip-building processes
- Build scalable systems as we grow
Bonus If You:
- Have worked with travel companies
- Have built CRM-style workflows in Notion
- Understand automation logic (Zapier, Make, custom API integrations)
- Think in systems, not just tasks
- Systems audit & recommendations
- Implementation of agreed integrations
- Optimized intake flow
- Documentation for internal team
- Scalable framework for future growth

- Deep Notion database architecture knowledge
