Assistant Event Coordinator Internship - Summer 2024

Reporting to the Community Events Lead, the Assistant Event Coordinator will support the development and on-site operations of our Fellowship Training Camp hosted at Queen's University.

You'll have a direct impact on Venture for Canada's program offerings and event production.

You'll do this by embracing our learning and development offerings through teaching, hosting, or facilitating learning opportunities, running events, and working closely with a range of cross-functional teams.


This is role is part of VFC's commitment to fostering work-integrated learning for Canadian students, in addition to gaining valuable hands-on experience, interns will also receive 1x1 mentoring from our Director of People Operations and Finance, receive a curated set of learning materials, and participate in professional development groups to further advance skill development.

These skill development sessions will focus on relationship building, time management, objective based working styles, delegation, project planning and execution, working in small teams, and more

This is a contract position and employment is contingent on funding approval. Expenses, travel, and boarding in Kingston for Training Camp will be paid for by Venture for Canada.


Please note, to be eligible for this position, you must:


  • be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and,

have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations; and,

be 30 years of age or younger at the time of the internship.

Skills:


  • Ability to work onsite at Queens University in Kingston, Ontario on 11 May 02 June 202
  • Project/event coordination
  • Strong spoken and written communication skills;
  • Detailoriented with proofreading skills to meticulously review and refine various types of content, ensuring accuracy and consistency in all materials
  • Experience supporting a large group of young people;
  • Motivated to ask questions to seek greater understanding and identify opportunities to support with the best resources;
  • Driver's license a must;
  • Ability to work evenings and weekends during event weeks;
  • Ability to lift at least 50 lbs.

Role Responsibilities:


  • Work closely with VFC's Community Events Lead and Fellowship Training Lead to support the design and delivery of community events across VFC's portfolio of youthserving programming, specifically:
  • Create systems to organize and track key event logistics, including attendee data, locations, materials, and catering;
  • Support the Community Events Lead to manage staffing and volunteer requirements, wellness, and satisfaction for each event;
  • Support the Community Events Lead in event evaluation by summarizing data, documenting lessons learned, and collaborating to deliver postevent debriefs and presentations;
  • Act as key troubleshooting support throughout the delivery of each event.
  • Support the Community Events Lead in key meeting planning and coordinating communications between VFC and external event contacts;
  • Support the Fellowship Training Lead with session preparation, specifically;
  • Migrate event schedules on relevant platforms;
  • Create various guides for participants;
  • Support with speaker management, including onboarding and offboarding of speakers
  • Support with session attendance tracking and survey administration
  • Play a key role in the success of two major VFC events: the 2024 Fellowship Program Training Camp (a threeweek residential leadership program in May-June 2024); and the 2023 Fellowship Cohort Graduation and Gala.
