What you'll be doing:


  • Assists the Project Officer in the logistics of the Peer Review process, ensuring documents are accessible by the peer Reviewers; enters reviewer results in CRM and extracts debrief comments for the applicants;
  • Drafts contracts in accordance with preestablished templates and content information supplied by Project Officers and Manager.
  • Receives and processes the applicants' disbursement requests, identifies any problems with invoices or missing information, provides information to Project Officers.
  • Types, formats, proofreads and sends correspondence to applicants with preestablished templates.
  • Acts as key liaison between Project Officers and other FCM staff related to status of GMF funding initiatives (including Finance, Legal, and Outreach), coordinates input, tracks documents and deadlines and provides followup as needed.
  • Manages all electronic and hard copy filing (including creating folders for Finance, scanning letters, contracts and reports, archiving, etc.) and updates database.
  • Responsible for revising and updating the procedures manual and correspondence templates including developing new or revising existing templates to respond to changes in procedures.
  • Verifies, codes, and processes invoices and expense claims. Ensures financial guidelines and any terms of contracts are respected.
  • Once contracted, coordinates fulfillment of recipient reporting requirements; conducts interim status update calls with recipients regarding the various obligations contained in the contract, and documents and reports on overall health of projects based on calls;
  • Assists the Project Officer in reviewing final project reports in accordance with contract scope of work and deliverables and in writing disbursement recommendations; prepares disbursement requisition form;
  • Contributes to the development and continuous improvement of new or existing procedures that increase the efficiency of the funding process and improves the client's experience;
  • Participates as required in crossfunctional team project work and meetings for FCM Programs department or in FCMwide initiatives.
  • Provides backup support to other Project Coordinators and Funding Assistants, Funding Services, as required.
  • May be called upon to undertake projects or other administrative duties as needed.

Education:


  • Postsecondary education specialized in office administration, business administration, project management or a related discipline, or equivalent education and work experience.

Experience:


  • A minimum of three years' work experience with a focus on the evaluation of contracts or grant and loan programs.

Knowledge:


  • Strong knowledge and understanding of the funding / granting process and where adherences to such processes are nonnegotiable.
