CGI-Calgary is seeking an Administrative Assistant/Receptionist to provide client and branch-level support, working collaboratively with an experienced team while also learning about CGI's operations/business.

Your future duties and responsibilities

  • Schedule internal and external meetings, providing proactive and realtime calendar management
  • Screen requests to determine priority levels, including visitors, phone calls, and correspondence. Gather, compile, verify, and analyze information for the Executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases
  • Facilitate communications between the Executive and coworkers and between the Executive and clients, media, and the public
  • Handle external requests with tact and diplomacy
  • Administrative tasks for the Calgary Leadership team including calendar management and coordination, and building expense reports
  • Prepare regular updates to existing reports, and build PowerPoint presentations (weekly, monthly, etc.) that are presented to the Calgary and WBU management teams
  • Assist with organizing key events, both professional and extracurricular
  • Coordinate travel requirements
  • Processing Purchase orders
  • Being the welcoming face of CGI Calgary (parttime reception)
  • Parttime client administrative responsibilities such as invoicing, statement of work administration, training administration
  • Provide relief cover for the Executive Assistant
  • Support Calgary's Corporate Social Responsibility (CSR) activities and other initiatives
Required qualifications to be successful in this role

  • Resourceful and intuitive selfstarter, able to thrive in a fastpaced setting and enjoy multitasking in a technical and administrative environment
  • Professional maturity, able to exercise independent judgment with absolute discretion and tact
  • Resourceful, with the ability to prioritize and meet timelines with mínimal direction, a proven doer
  • High level of integrity, with a focus on customer service, energy, speed, and accuracy
  • Excellent communication skills, both verbal and written
  • Superb planning and organizational skills

Required technical skills:


  • Advanced knowledge of MS Word, PowerPoint, and Excel
  • Calendar management
  • Meeting and event planning/management
  • Presentation preparation/coordination
  • Experienced with SharePoint
