Summary of Position


Under the direction of the Manager of Utility Operations this position provides a full range of administrative and coordination support for Hydro Operations including the preparation of correspondence, reports, purchasing and inventory, the development and maintenance of data management filing systems, responding to Public inquiries and complaints, while performing a variety administrative work.


Qualifications

  • Two year college diploma in business/office administration or related discipline.
  • Two years of experience in a hydro utility setting.
  • Good knowledge of proper inventory practices and ability to keep an efficient inventory system.
  • A working knowledge of relevant legislation, polices and guidelines (ESA, OHSA, EUSA, etc).
  • Good communication and customer service skills.
  • Ability to work with tight deadlines.
  • Strong time management and organization skills.
  • Good computer data entry skills.
  • Capable of carrying out duties with mínimal supervision.
  • Ability to take initiative.

Position Responsibilities

  • First contact for Hydro Department.
  • Provides record keeping and administrative support.
  • Create all Hydro service orders and schedule accordingly.
  • Process & schedule all "new connect" folders Infill & Sub-Division.
  • Maintain calendar for all jobs.
  • Update and maintain departmental filing systems, databases, and/or policy and procedure manuals.
  • Maintain monthly service order summary reports for power outage tracking by recording all field Interruption reports
  • Create all Service Orders for accidents, request reports from OPP and provide insurance information for finance
  • Process all hydro locate requests for contractors and provide copies to contractors, as well as request locates for all THI work.
  • Relevant purchasing duties.
  • Codes Hydro Department accounts payable invoices as appropriate.
  • Attend all Hydro department meetings in role of secretary.
  • Responsible for all hydro inventory including, but not limited to, conducting yearly physical inventory count and reconciliation.
  • Responsible for scheduling service layouts, including scheduling, sending out quotation and layouts to contractor and providing transformer information when requested.
  • Create and send all letters from Operations when needed such as customer owned equipment, tree trimming on private lanes, ESA, planned outages & privately owned pole changes
  • Schedule inspections on the substations.
  • First contact for nonutility generation accounts.
  • Adheres to all policies and procedures of the Town.
  • Ensures operating procedures and workplace safety regulations are followed and comply with the Occupational Health and Safety Act.
  • Perform other duties as assigned.
