Job description
You will start by fixing a messy CRM structure, move into automating our entire market mapping process,as well as our reporting system and finally internalize our lead generation to replace a high-cost external
agency.
Phase 1:
CRM Infrastructure & Data Architecture
The Audit:
Full review of CRM. Identify why consultants can't find data easily
The Build:
Create a scale-proof filtering system with primary industry, sub sector and then niche
specialist areas.
Data Migration:
Clean and map all existing database contacts into this new structure.
The Rulebook:
Write the one page guides for the team.
Phase 2:
Market Mapping & Automation
The Map:
Use data scrapers/miners to map the entire Accountancy Practice market, from
boutiques to the Big 4 and flow them into the CRM.
The Nurture:
Build automated campaigns (speculative CVs, newsletters, salary guides)
The Workflow:
Automate the "Job Brief" process—from uploading a role to the website to routing
LinkedIn applicants directly into the CRM.
Phase 3:
Agency Internalization & Lead Gen
The Review:
Audit our current external lead gen agency
Internalize:
Build a plan to move this in-house using our VA, scrapers, and automation tools to
save costs.
Campaign Mastery:
Use ai (Essential) and campaign management software to run high-volume, personalized
outreach across 6 accounts.
Coordination:
Sync VA schedules with Consultant profiles to ensure zero overlap or
double-messaging.
Phase 4:
Automated Reporting
Consultant Views:
Real-time dashboards for the team (KPIs, activity, wins) pushed to
Messanger.
Lead Gen view:
Create a separate reporting suite for the CEO to track lead gen ROI, scraper
efficiency, and campaign conversion rates.
What You Must Bring
Automation/API Expert:
must
understand how to connect tools via APIs and Webhooks.
You must be an expert at automating
high-conversion outreach.
Reporting:
Proven experience automating complex business intelligence reports.
Proven experience at handling lead generation / campaign management at scale
Resources At Your Disposal
1 Dedicated Virtual Assistant (VA).
Access to Data Scrapers/Miners.
Full API access to the tech stack
Question 1:
Can you briefly describe a specific workflow you've built where you used an API or Webhook to move data from a scraper or lead source into a CRM, and then triggered an automated outreach sequence ?
Question 2:
We need to restructure a 'messy' CRM with nested filters (Industry, Sub-sector, Niche). How would you handle mapping 10,000+ existing, unorganized records into that new structure without manually editing every single one?
Contract duration of 3 to 6 months. with 40 hours per week.
