Reporting to the Administrative Manager, the Administrative Receptionist provides general administrative and reception support, coordinates the casual and academic timetable, coordinates communications and media for the College, and provides general IT support. Key Responsibilities
    • Prioritizes and provides administrative support for assigned faculty members, including, but not limited to, preparing correspondence, letters, course materials, lecture notes, examinations, grant applications, annual reports, etc.
    • Recovers costs, including, but not limited to, services such as photocopying, printing, stationary supplies, and follows up on invoices not paid. Processes journal entries, deposit forms, and purchase orders.
    • Acts as receptionist for the College of Pharmacy, including, answering telephone and greeting visitors. Screens and responds to various inquiries from faculty, staff, students, potential students, pharmaceutical representatives, pharmacists, etc.
    • Ensures that department a/v equipment remains in good working order and acts as an equipment resource for faculty and students.
    • Completes room bookings and manages academic timetable for the department.
    • Provides administrative support for the awards committee and chair, records and transcribes minutes, and arranges meetings.
    Note Due to operational requirements, the successful applicant is required to work in-person on campus. Required Qualifications
    • Business/Office Administration diploma with approximately two to three years related work experience (or equivalent combination of training and experience).
    • Proficiency in MS Office (Word, Excel, Access and PowerPoint).
    • Excellent communication (verbal and written), organization, and interpersonal skills.
    • Strong attention to detail, ability to multi-task, and the ability to work independently.
    Assets
    • Familiarity with Banner, Adobe CQ, and basic audio-visual skillset.
    • Experience working in an academic environment.
