Coordinator of Volunteers (Part-time)





REPORTS TO:
Executive Director


WHO WE ARE?
SVSS programs and services are designed with the client and volunteers in mind.

We provide one-to-one direct volunteer services such as supportive transportation: giving clients a ride to a variety of medical and non-medical appointments, companionship visits, help with light yard work, shopping assistance, meal delivery, completing income tax returns, and many other activities associated with daily living.


The Coordinator of Volunteers (COV) works in accordance with the mission, vision, and values of Saanich Volunteer Services Society (SVSS).

The COV is responsible for the management of the SVSS volunteers and the one-on-one direct volunteer services and programs.

The COV works closely with other SVSS team members in the successful delivery of programs and services to promote independent living and enhance quality of life for Saanich residents.


RESPONSIBILITIES:

Fosters and maintains positive, collaborative relationships with volunteers, team members, internal and external stakeholders, and the public.


Proactively recruits, interviews, and screens potential volunteers based on client need as determined in consultation with team members, client service demand, and office administration and facility management support requirements.


Collaborates with other team members in matching volunteers with projects, programs, and services suited to their skills, all volunteer scheduling, and provision of any required training ensuring client needs are met, appropriate volunteer service delivery, and support of organizational objectives.

Collaborates with associated team members to coordinate all SVSS client services and programs and administrative and facility-based activities.


Develops and provides ongoing volunteer orientation and training including resource and procedure manuals, scheduling training sessions and collaborating with partner agencies when opportune or required.


Develops with Executive Director an annual volunteer recruitment strategy including public relations and communications to support SVSS volunteer recruitment targets, increase awareness of volunteer opportunities and SVSS services.

Initiates and delivers public relations and community outreach activities, presentations, booths, media advertising, and recruitment fairs.

Works closely with partner agencies and community organizations and maintains association memberships as required.


Supports client service delivery and organizational requirements in exceptional and unforeseen circumstances if a volunteer is unavailable to perform the duties.


Maintains volunteer records and files including overseeing the volunteer service and program management database including inputting volunteer data, mileage honorariums, and monthly volunteer activity reports including volunteer jobs, kilometers travelled, and hours.


Leads the agency staff in organizing a minimum of two annual Volunteer Recognition and Appreciation events and organizes activities during National Volunteer Recognition Week, seasonal celebrations and holidays, special events, and other recognition activities (i.e., Birthday cards).


Develops with Executive Director annually a volunteer program budget: tracking expenditures, monitoring financial activities, and reporting monthly to Executive Director.


Attends internal and external meetings as required, including weekly team meetings, and chairing and taking minutes for the SVSS Volunteer Advisory Council monthly meetings.

Complies with the SVSS Health and Safety Management program and all applicable safety standards, regulations, directives, and policies.

Communicates issues of concern related to SVSS to the Executive Director.

Performs other related duties as assigned and as reflective of individual strengths.


QUALIFICATIONS:


EDUCATION

  • University or College graduation in a related discipline, including but not limited to a Volunteer Management Certificate, or equivalent combination of education and experience,
  • Computer aptitude with relevant skills including Windowsbased computer programs and software (Word, Excel, Power Point, Outlook),
  • Current First Aid and CPR Certificate (to be renewed upon expiry),
  • Valid BC Driver's License and access to a vehicle when required,
  • Successful Criminal Record check for working with vulnerable populations.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Minimum of five (5) years recent experience working with a nonprofit and voluntary sector organization as an employee or volunteer preferred,
  • Previous experience supervising staff and volunteers preferred,
  • Strong customer focus and able to work well with staff and volunteers,
  • Knowledge of volunteer programs and services in the Greater Victoria area preferred,
  • Proficiency in Microsoft Office Applications and Database Management,
  • Financial knowledge of fiscal operations and tracking expenditures,
