Job Description:


Brookfield ambassador specializing in innovative relationship management with high profile tenants, who promotes and establishes Brookfield through their superior service commitment as the preeminent property management company within Canada.


This position will ensure excellent service delivery, promoting Brookfield Place and the complex as a definitive tenant destination in the downtown financial district.


RESPONSIBILITIES:

  • Responsible for the management of office and retail tenants dealing with the daytoday questions and concerns including billing issues, lease inquiries, service amenities, special requests, telecommunications and responsible for initial complaint followup and resolution.
  • Meet with individual tenants regularly to review building features, procedures, and tenant service requirements and record all key account meetings.
  • Liase between tenants to regard to construction build outs of tenant premises including building procedures.
  • Manage the tenant hand off policy and move out policy and ensure that all procedures are being followed.
  • Participate in the annual budget process as it relates to the Bay Wellington Tower and specific common area contracts.
  • Assist in managing contracts such as cleaning, landscaping, parking and courier services.
  • Send emergency messaging as required in Live Safe.
  • Maintain office and retail tenant files including monitoring the collection of tenant insurance requirements.
  • Monitor tenant service work orders (310SERV) to ensure that there are no significant concerns.
  • Liaise with the operations and security departments to ensure that tenant concerns are addressed in a timely manner and service levels are maintained.
  • Review lease summaries on an ongoing basis to ensure lease changes are recorded accurately.
  • Review all communication, including individual operations department and security communications, set out to tenant to ensure they are accurate, user friendly and consistent.
  • Identify and share amenity opportunities to create value for the tenants.
  • Assist the tenant services team with creation and execution of tenant events i.e., Earth Month, Tenant Appreciation, Waste Reduction Week, art installations.
  • Manage the tenant wellness program, creating additional programs and tenant amenities.
  • Assist with award submissions i.e., LEED, BOMA 360, BOMA Best, BOMA Certificate of Excellence.
  • Assist with management of daytoday operations in the complex specific to housekeeping inspections, exterior and interior plant maintenance and building signage.

QUALIFICATIONS

SERVICE / PERSONAL SKILLS:

EXPERIENCE & TECHINCAL SKILLS:

  • Minimum 5 years commercial property management experience or equivalent in a large mixed use complex environment
  • Exceptional relationship building and managements skills
  • Intermediate skills in Microsoft Word & Excel
  • Knowledge of financial and lease analysis
  • Previous experience in Yardi, Angus and VTS software systems would be an asset

EDUCATION/DESIGNATION/LICENSES:

  • Post-Secondary Education or similar work experience required
  • Professional designation e.g., RPA, CPM preferred.
