Position Summary:


Under the direction of the Administrative Officer, School of Computer Science (SOCS), Faculty of Science, the Student Advising Supervisor will provide guidance and support with respect to student affairs related activities for graduate and undergraduate programs.

Will be responsible for managing a team of student affairs professionals and will foster effective working relationships by identifying needs and providing support in the delivery of services to students.


Primary Responsibilities:

  • Provides administrative support for the planning and implementation of student affairs activities for the School of Computer Science graduate and undergraduate programs. Provides advice to students on academic issues. Assesses and resolves administrative problems. When appropriate, discusses with supervisor to formulate recommendations.
  • Plans and implements recruitment and orientation programs for new Computer Science Nonthesis Master's Program. Administers department initiatives with the GPDs (Graduate Program Director) of the Master's and PhD programs and the Chair of the graduate admission committee.
  • Oversees and manages the admission exercise of applicants from diverse backgrounds for all Computer Science graduate programs; obtains applicants metrics; prepares offers of admission or refusal letters; ensures that all admission conditions are fulfilled.
  • Ensures that Computer Science Nonthesis Master's Program requirements are completed and makes recommendations for graduation degrees to be conferred by specific deadlines.
  • Meets with Computer Science graduate students specifically those in the Nonthesis Master's programs about coursework, courses and deadlines. Advises those students of alternate possibilities for the completion of their programs/degrees. Assists students by referring them to appropriate areas of the university (e.g. Mental health service or medical doctor, student aid, etc.).
  • Supervises student affairs staff. Plans, schedules and delegates the work of staff in accordance with the department's goals and objectives. Monitors\ performance. Administers attendance/absence reports of all nonacademic employee on Workday.
  • Oversees and supports the various undergraduate and graduate committees with training and orientation to new graduate and undergraduate students. Liaise with undergraduate and graduate committee chairs.
  • Initiate the planning of course offerings for the upcoming academic year with the Academic Committee Chair. Oversee Timetable entries. Act as the primary contact with the Class Scheduling Office.
  • Participates in committees relating to student affairs and acts as liaison with Graduate Program Studies office (GPS), Enrolment Services (ES) and the Scholarship and Student Aid Office (SSAO).
  • Oversees and resolves problem cases or more complex issues related to student affairs activities including the following: transfer and exemptions credit, thesis submissions, PhD Defenses, Comprehensive Examinations, grades, failures, degree audits, convocation activities, program requirements. Works closely the GPD and UPD.
  • Participates in the Teaching Assistants hire and assigns to undergraduate courses according to guidelines established by AGSEM's collective agreement and undergraduate enrollment. Processes TA appointments. Responsible for submission of teaching assistant workload forms and performance evaluation forms and ensures their completion in accordance with the collective agreement.
  • Represents the department in university committees related to graduate studies (admissions, recruiting, scholarship).
  • Develops and maintains accurate graduate student reports for the department. Manages report for all student affairs (e.g., course registration, admissions statistics, program registration, budgets, etc.). Produces reports for GPD, UPD Chair, AO and FST. Acts on requests for information
  • Is a backup to the Administrative Officer during absences or as need arises.
  • May participate in special projects.
Other Qualifying Skills and/or Abilities

Demonstrated organizational skills and ability to multi-task, work independently and as part of a team. Experience managing employees and participating in their training.

Student-focused and service-oriented with a demonstrated ability to build constructive and effective relationships and find solutions in a variety of situations with all levels of staff, students and the public.

Ability to track, analyze, and synthesize a high volume of information and to handle multiple projects and meet strict deadlines.

Must be able to provide advice, solutions, and timely information to assist in the implementation of administrative procedures and problem solving.

Experience using social media and technology to improve communication with targeted audience an asset. Excellent writing, editing and oral communication skills. Experience
