LEGAL ASSISTANT - Wills and Estates (FULL TIME, PERMANENT)
About the Job:
This is an exciting opportunity to play a key role in all aspects of our busy Wills and Estates group
Responsibilities will include:
- Prepare for client meetings, including preparing copies of client's current estate planning documents, intake forms, retainer agreements, starting a file, preparing Boardrooms for meetings and virtual signing.
- Draft Wills, Powers of Attorney, and other documents at the direction of the lawyer.
- Assist with administrative tasks, including: Scanning and digital filing of client information completed client intake forms, retainer agreements, and lawyer's instructions. Assisting with preparation of document briefs. Scanning/assembling PDFs of documents to forward to clients and other stakeholders.
- Input client information into database.
- Meet with clients to witness will signings, prepare Affidavits of Execution to be scanned.
- Handle current file closings, including returning original documents to clients.
- Billing: Prepare reporting letters for group partners, mailing to clients with billings on a timely basis. Follow up on outstanding Accounts Receivable, as requested.
- Preparing memos to Real Estate group as required.
- Provide administrative support to Estate Administration Law Clerks.
- Maintain spreadsheet of wills returning to/arriving form offsite storage.
- Distribute incoming mail and deliveries.
- Assistance with process improvements and efficiencies.
- Research and other projects as assigned.
JOB REQUIREMENTS:
- Legal Assistant or Law Clerk Diploma or equivalent clerical experience in professional office setting.
- Undergraduate degree an asset.
- Strong focus on providing exceptional customer service and lawyer service and taking pride and confidence in your work product and role.
- Excellent interpersonal skills with the ability to work independently as well as part of a team.
- Highly developed communication skills, verbal and written.
- Strong time management skills and keen attention to detail.
- Demonstrated willingness to take initiative and be proactive in finding solutions.
