Position Summary:

The Scheduling Coordinator is responsible for providing timely scheduling of assessments with our assessor pool.

The role will involve monitoring of all incoming referrals, timely acceptance and distribution of referrals, referral data entry, communication and follow up for signatures, scheduling of the assessments, and any secondary services as required.

The Scheduling Coordinator will work with our stakeholders to schedule assessments in line with client and assessor preferences.

The position will report to the Director of Operations.

They will work closely and collaboratively with the our Medical and Case Coordinators, Quality Assurance Team, CAT department, and our cross functional departments including Human Resources and the Finance Department.


Responsibilities

  • Review and acknowledgement of incoming referrals in accordance with company timelines
  • Enter new referrals into Universal or other MIS and /or tracking sheet
  • Assignment of referral to a case coordinators and creating client electronic files
  • Follow up on client OCF signatures and monitoring of HCAI
  • Scheduling of assessments and requesting of medical documents from health care providers
  • Scheduling and coordinating secondary service providers such as translation and transportation for clients
  • Prepare tracking for transportation and translation as required
  • Preparation of scheduling documents
  • Communication with stakeholders as required from diverse professions and educational backgrounds

  • Coordinating with assessors in advance and working with various schedules and timelines
  • Daily, weekly and monthly reporting as required
  • Other responsibilities as required.

Qualifications

Experience:


  • 1 year of experience in scheduling or administrative position in a healthcare setting
  • Clinical knowledge an asset
  • Knowledge of the SABS an asset
  • Prior experience in the MVA industry

Education and Certifications:


  • University degree in related field

Knowledge and Skills:


  • Excellent analytical, critical thinking, problem solving and reasoning skills
  • Demonstrated ability to develop and maintain professional relationships with colleagues, external partners and providers;
  • Demonstrated ability to work independently and as part of a team;

_Understanding of SABS;_:


  • Ability to communicate clearly and effectively with all stakeholders;
  • Extensive experience using Microsoft Office, specifically Word;
  • Ability to use Universal or other MIS
  • Meticulous attention to detail;
  • Multitasking, time management, planning and organizing;
  • Ability to maintain confidentiality.

Job Types:
Full-time, Permanent


Salary:
$17.00-$21.00 per hour

  • Bachelor's Degree (preferred)

Experience:


  • Scheduling in healthcare or rehabilitation: 1 year (preferred)
