The Michael G. DeGroote Initiative for Innovation in Healthcare and the newly established Marnix E. Heersink School of Biomedical Innovation and Entrepreneurship is seeking an experienced Administrative Assistant (III) to join our team.


Reporting to the Manager, Finance and Administration, the Administrative Assistant will play a pivotal role coordinating and supporting the executive team.


We are seeking an experienced and dynamic professional to join our team and contribute to the growth, efficiency, and continued success of our initiatives.

The position requires exceptional organization, initiative, communication, problem-solving skills, knowledge working with an academic and clinical environment, resourcefulness, and experience in a fast-paced environment.


Duties include:

  • Coordinate and support the executive team, including managing calendars and project support.
  • Participate in developing and implementing projects, work methods, and procedures.
  • Recommend procedural changes to improve operational efficiencies.
  • Follow up on decisions made by the team, ensuring appropriate implementation.
  • Resolve complex administrative issues, consulting documentation and liaising with relevant resource persons.
  • Collect, analyze, and summarize information for decisionmaking processes.
  • Develop time and resource estimates for activities and events.
  • Monitor and reconcile accounts, and establish priorities for general office operations.
  • Plan and coordinate events such as webinars, seminars, and workshops.
  • Handle complex inquiries and provide specialized knowledge on policies and procedures.
  • Screen visitors and calls, exercise discretion and judgment, and notify appropriate personnel.
  • Complete financial forms, write various documents, and conduct database and literature searches.
  • Coordinate calendars, resolve scheduling conflicts, and write formal notes and records.
  • Format, edit, and proofread various documents.
  • Monitor and order office supplies, source pricing information, and maintain filing systems.
  • Handle sensitive material in accordance with established policies.
