Summary:

This position reports to the Manager, Local History & Archives.

The Exhibition and Outreach Coordinator plans and coordinates Hamilton Public Library exhibitions, exhibits and galleries for the Local History and Archives department and seeks partnerships and opportunities for collaboration with other institutions and organizations in the region.

The Exhibition and Outreach Coordinator is responsible for logístical support for in-house, off-site and touring exhibitions and liaises with museum professionals, heritage partners, researchers, artists, lenders and contract specialists in exhibition administration.

They lead the creation of exhibitions, overseeing and evaluating interpretive plans, research, context, graphic elements, interactive experience, web content and public events.

In a deadline-driven environment and adhering to archival and museum standards, the Exhibition and Outreach Coordinator ensures timely delivery of exhibitions, programs and associated materials.


Job Duties:

  • Oversees, coordinates and tracks all activities and arrangements for HPL's exhibitions, exhibits and galleries including those with internal departments and external lenders and collaborators.
  • Develops exhibition ideas and themes related to collections, programs and services, and leads educational programming, public and outreach services including openings, lectures, programs and other special events.
  • Creates the interpretive plan for an exhibition or gallery ensuring that relevant and engaging exhibitions are offered that meet the needs of target audiences.
  • Structures and writes text, develops digital interactives and designs engaging, accessible spaces.
  • Drafts, schedules and maintains a multiyear exhibition plan for all public display spaces across HPL and partner organizations, while ensuring that installation and deinstallation periods are coordinated with partner collaborators.
  • Drafts and administers contractual agreements for all works temporarily loaned to HPL's Local History and Archives department and for touring exhibitions. Works closely with Facilities and/or contractor to organize and track collections, rotations/installations and exhibitions including location changes, installation, courier and security requirements.
  • Drafts and administers exhibition budgets and monthly accounting reports.
  • Project manages temporary exhibitions, establishing project timelines, milestones and delivery frameworks.
  • Implements policy and procedures as approved by management and works collaboratively with internal departments to ensure appropriate standards of exhibition are met.
  • Develops performance measures and evaluates the exhibition program on a regular basis.
  • With the support of internal departments coordinates the production of promotional and educational materials for the exhibits program.
  • Work with library departments and partners to seek out grant, sponsorship and promotional opportunities for the exhibits program. Work will include preparing grant proposals and related proposals for manager approval.
  • Acts as a resource to the Local History and Archives staff related to daytoday operations.
  • Participates in strategic planning and library projects.
  • Assists with annual performance appraisals for area staff and with management and Human Resources approval coordinates appropriate follow up including workplans and workflow priorities and training
  • Participates in the interviewing and hiring, and coordinates the onboarding of staff
  • Leads systemwide training of new and current staff to create awareness of Exhibit practices and programming protocol.
  • Maintains good work relationship with all internal and external stakeholders through regular contact, presentations and participation on committees
