Founded in 1988, VPI has provided working solutions to individuals and organizations for more than 30 years. We are based in Mississauga and have 17 branch locations across Southern Ontario.


We provide employment programs, assessments and supportive vocational services that help residents of Ontario improve job readiness, explore training, and get back to work.

We facilitate several Employment Ontario programs to help job seekers find work and training opportunities. We also work directly with employers who are looking to hire. These programs and services are provided at no cost to job seekers or employers.


What We Are Looking for:

Contract - Administrative Assistant in our Lawrence branch.


The Administrative Assistant is responsible for greeting, assisting, and communicating with all employees and visitors entering the office - specifically VPI's clients, community partners, funders, and employer partners.

The Administrative Assistant provides seamless and effective administrative support to VPI staff, clients, potential clients, and service providers.

To be successful in this role, you will be comfortable with automation, ever-improving processes, and efficiencies. You possess integrity and a strong work ethic. You are a highly motivated, results-driven, and dependable team player.


Key Job Functions

  • Receive and direct all visitors and telephone inquiries quickly and professionally.
  • Maintain client statistical records and databases to ensure an accountable high quality of service delivery.
  • Handle all intake paperwork and conduct referral in followups; provide flexible assistance to clients with intake process (completion of forms, data gathering)
  • Accountable for setting up the schedule for an intake appointment for the branch to ensure that intake targets will be met.
  • Provide Administrative support to the Branch Manager or Branch Coordinator and all staff at the Branch such as report production, scanning, photocopying, and data entry as required; actively assists branch staff in performing daytoday administrative and customer service duties.
  • Complete all documentation including client reports, activity, and any other documentation required by the manager or funder.
  • Perform various Accounting/Administrative duties such as the coordination of; Expenditure Requests (i.e., Grand and Toy Orders), invoice approvals, incentive payments, managing petty cash, management.
  • Act as backup to the Resources Specialist when RS is absent or as required.
  • Demonstrate a comprehensive understanding of all VPI programs and services offered and maintain current information on community services.
  • Assist clients (with multibarriers) with administrative needs and maintain a positive rapport with our community partners.

To be successful in the role you will have:

  • Previous administrative and clerical experience.
  • Welldeveloped communication, problemsolving and interpersonal skills.
  • Advanced knowledge of Word Processing and MS Office Software abilities.
  • Strong organizational abilities to track and monitor statistical information.
