CORE CLINICAL SERVICES COORDINATOR & OPERATIONS ADMINISTRATIVE ASSISTANT
ACT Learning Centre is a leading-edge, dynamic, multidisciplinary practice in Ottawa.

We are a team of Speech-Language Pathologists, Occupational Therapists, Social Workers, Board Certified Behaviour Analysts, Communicative Disorders Assistants, Occupational Therapy Assistants, Early Childhood Educators, and Registered Behaviour Therapists providing exceptional services to children and youth with autism, developmental disorders, and delays and their families.


ACT is one of three local providers of the Caregiver Mediated Program under the Ontario Autism Program (the PLAY Project) and the only local provider of the Entry to School Program (a school readiness program funded under the Early Years Pillar of the Ontario Autism Program).

We also have a busy multidisciplinary practice with clinic locations throughout Ottawa.

We have an immediate opening for a full-time Core Clinical Services Coordinator and Operations Administrative Assistant.


Position Summary:


Reporting to the Director of Operations, the incumbent will be responsible for the coordination of internal services for new clients and providing assistance to the Director of Operations ensuring the operational needs of the organization are met.


Core Clinical Services Coordination


The coordinator manages all referrals for Ontario Autism Programs Core Clinical Service funding clients, acting as the initial contact for new clients completing the registration and intake process.

The coordinator acts as the case manager for each family ensuring the services provided match the needs of the family, schedules all services at ACT, and prepares and reviews service budgets for families.


Operations Administrative Assistant


In this role, the incumbent will work alongside the Director of Operations and provide assistance in the implementation of quality assurance initiatives including client services and health and safety, provide assistance for payroll and billing support and the site management for all locations.


General Responsibilities

  • Responsible for establishing and maintain a professional and supportive relationship with clients seeking service.
  • Reviews available services with families based on their needs and concerns. Answers basic questions related to different services to support family decision making.
  • Schedules client services with multiple providers based on the client's needs.
  • Collaborates with service providers to ensure information is exchanged in a timely and professional manner.
  • Maintains strict adherence to PIPEDA and patient information privacy requirements.
  • Provide administrative support to the Director of Operations to support the organization's operational needs.
  • Assist in the oversight of clinical supply inventory including tracking orders, managing receipts and ensuring that all inventory is distributed appropriately within the organization.
  • Ensure all Covid19 PPE inventory is maintained on a weekly basis.
  • Ensure employee expense forms are completed and submitted to the Director of Operations in a timely manner.
  • Assist with client file data entry, ensuring accuracy and confidentiality.
  • Provide support with special projects and other duties as required.

Skills and Abilities

  • Ability to work independently and as part of a team to achieve outcomes and deadlines.

  • Maintains professional ethics and discretion and protects sensitive and personal information.
  • Strict attention to detail.
  • Proficiency in Microsoft Office and Adobe Acrobat and quick adaptability to new processes and systems.
  • Excellent time management and organizational skills.
  • Excellent communication skills, both verbal and written.
  • Ability to prioritize tasks effectively.
  • Excellent documentation and reportwriting skills.
  • Superior customer service skills that reflect the needs of the clients.
  • Some knowledge of Speech-Language Pathology (SLP), Occupational Therapy (OT), and ABA Therapy services, as well as autism services an asset.
  • Knowledge of the

Ontario Autism Program:
Core Clinical Services an asset.


Qualifications

  • Minimum two years' experience in a similar role or postsecondary education and/or a combination of experience, training, and education in a relevant and similar role.
  • A successful vulnerable sector check.
  • Bilingualism is a requirement: French and English
  • Proof of Covid vaccination
