SUMMARY OF THE POSITION
Person who performs work related to personnel management, financial management, work organization and planning for the execution of complex administrative tasks by compiling and analyzing data. This job title also includes the person who is responsible for the administrative operation of a department and who oversees the department's internal and external relations. She/he is responsible for the activities of the department's office personnel.
REQUIREMENTS
Education:
• According to the field of work, a diploma of college studies with specialization in Administrative Techniques or in an appropriate discipline from a school recognized by the Ministère de l'Éducation du Loisir et du Sport or a certificate of college studies in Administrative Techniques;
• This job title also includes applicants who, with pertinent experience, hold a college certificate in administrative techniques.
Experience:
• Candidates must have at least two (2) years of professional experience in the field of medical archives.
SPECIFIC FUNCTIONS
Perform various administrative tasks to free medical archivists, assistant managers, and the department coordinator from specialized responsibilities. The technicians will work closely together, share tasks, and ensure mutual replacement during absences.
The Administrative Technician is responsible for work organization and planning the execution of complex administrative tasks.
Clinical Forms Management
• Creation, formatting, and follow-up on clinical form requests.
• Maintaining a register of forms and updating versions.
Community Travel Organization
• Preparation and obtaining required travel authorizations.
• Hotel reservations and logistical coordination.
• Support in preparing travel expense reports.
• Data entry into the budget expense register.
Data Entry and Management
• Data entry in internal systems as required.
• Recording access-to-information requests.
• Support with preparing and sending access-to-information responses.
Support for Department Projects and Initiatives
• Active participation in ongoing projects.
• Document formatting and creating presentations.
• Updating dashboards for activity monitoring.
General Administrative Tasks
• Email management and follow-up on internal requests.
• Electronic filing in SharePoint.
• Preparation of administrative reports and statistics.
• Support in meeting planning.
• Answering calls from the centralized line during absences.
Qualification Support
• Supporting the qualification archivist in daily tasks.
Collaboration and Mutual Replacement
• Equal task sharing to ensure continuity of operations.
• Ability to replace the other technician during absences.
Administrative Training
• Training medical secretaries on certain administrative tasks.
• Contributing to increasing the team's knowledge of administrative tools.
REQUIREMENTS
• Excellent organizational skills and ability to manage priorities.
• Proficiency with office tools (Word, Excel, Outlook, etc.).
• Ability to work in a team and communicate effectively.
• Discretion and respect for confidentiality.
• Flexibility and adaptability.
Language:
• Fluent in English
• Fluency in French and Cree are an asset
