Overview:


Responsibilities:


  • Offer comprehensive administrative assistance to both managers and team members.
  • Professionally handle and route incoming phone calls.
  • Efficiently organize and manage appointment schedules.
  • Take charge of planning meetings, ensuring detailed minutetaking.
  • Contribute to the preparation of regularly scheduled reports.
  • Establish and maintain a filing system for easy document retrieval.
  • Regularly update and uphold office policies and procedures.
  • Oversee the procurement of office supplies, researching new deals and suppliers.
  • Maintain accurate and uptodate contact lists.
  • Coordinate travel arrangements for team members.
  • Facilitate the submission and reconciliation of expense reports.
  • Provide welcoming support to office visitors.
  • Act as a central point of contact for both internal and external clients.
  • Collaborate with executive and senior administrative assistants to address requests and inquiries from senior management.

Qualifications:


  • High school degree, bachelor's degree or additional qualification as an administrative assistant or secretary will be a plus.
  • Proven experience as an administrative assistant, virtual assistant or office admin assistant.
  • Experience and knowledge of construction background.
  • Proficient in Microsoft office suit (Word, Excel, PowerPoint, Outlook).
  • Excellent organization and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to multitask and prioritize tasks efficiently.
  • Detailoriented with high level of accuracy in work.
  • Ability to maintain confidentiality and handle sensitive information.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines. kills, we would love to hear from you

Ability to commute/relocate:

North York, reliably commute or plan to relocate before starting woke (required)


Experience:


  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)

Salary:
$35.00-$45.00 per hour

Expected hours: 8 per week


Flexible Language Requirement:

  • French not required

Schedule:

  • 8 hour shift
  • Monday to Friday

Supplemental pay types:

  • Overtime pay
