We are looking for a reliable and dedicated clinic coordinator with great leadership and organizational skills with a genuine passion to serve patients and exceed expectations to support our amazing team and turn our clinic into a well-oiled machine.
Must possess strong customer service skills and excellent phone etiquette.
Our busy multidisciplinary clinic consists of physiotherapists, chiropractors, massage therapists, and a naturopathic doctor who all focus on high quality care.
We need a self-motivated, highly organized and efficient leader to handle day to day operations, developing inter and intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation.
Responsibilities:
- Oversee the daytoday operations of the clinic
- Manage and train new staff members
- Create and implement policies to ensure compliance with medical regulations
- Work with insurance companies to coordinate care
- Maintain current and accurate patient records
- Manage patient referrals and scheduling
- Work with patients and providers to coordinate care
- Provide education to patients about services and procedures available to them
- Participate in ongoing provider network reviews, provider scheduling, and patient scheduling
- Participate in ongoing network assessments, billing, and collections
- Participate in the development of practice protocols and medical guidelines
- Perform administrative duties as needed including maintaining patient files, completing reports, preparing reports, etc.
Other Responsibilites and duties include:
- Recording and implementing new protocol and procedures.
- Other general office admin duties, (ie invoicing, pulling up patient notes)
- Interclinic communication between medical walk inclinic and rehab clinic
- Booking/running staff meetings, training, delegation of duties, collaborative issue resolution with admin and clinical staff
- This role will also involve acting as a liaison between management and staff
- Establish team atmosphere through leadership and employee development
- Order/pick up supplies and equipment as needed
- Organize/implement marketing material
- Ensuring all company procedures and policies are followed.
- This role require the ability to establish exceptional rapport with our patients and staff
- Contributing to office cleanliness.
- Generating/logging clinic statistics
- Vendor management including liasing with our marketing and tech partners.
- Must be comfortable using social media for marketing.
- Qualifications
- 25 years management experience
- Genuine passion and desire to serve patients and exceed expectations
- A creative mind and ability to suggest improvements and protocols.
- Leadership skills and ability to support our systems and processes
- Comfortable being independent and making decisions
- Ability to multitask efficiently
- Calm under pressure
- Excellent English literacy is required in addition to compassionate and confident personality
- 48 hour shifts Monday-Saturday.
- Weekend and evening availability, on call
- Potential to grow.
Qualifications:
- Bachelor's degree, college diploma or equivalent experience in a health care field is preferred.
- Previous experience in a clinical and or/office setting is required.
- Must possess excellent organizational skills; be able to multitask; possess a positive attitude; be able to work independently; be comfortable with computers; have strong problem solving skills; possess excellent communication skills with physicians, coworkers, supervisors, and other staff members.
Job Types:
Full-time, Part-time, Permanent, Fixed term contract
Contract length: 12 months
Salary:
$18.00-$22.00 per hour

- Monday to Friday
- Weekends as needed
Supplemental pay types:
