Job Summary:
This position provide administrative support to the Water Treatment Manager, Supervisors, and unionized staff, and other areas of the Water & Wastewater System Services and Treatment divisions as needed.
Duties & Responsibilities:
- Work as part of a team to achieve sectional level goals in support of divisional and public works Asset management objectives.
- Conduct and coordinate tasks such as invoice processing, system uploads, SAP data entry, reporting and purchasing.
- Assist the treatment plant maintenance team in accomplishing daily objectives and ensure accurate SAP and service report data entry.
- Support budget reviews by communicating variances between budget and actual expenses and monitoring related improvement processes.
- Provide regular reports on GR values, compliance, KPI's in relation to agreement upset limits, bylaw, budget, asset care program.
- Coordinate and monitor staff training and development, including registration, payments, scheduling, and progress tracking for regulatory and businessrequired training.
- Monitor Contractor Orientation program and records to support safe workplace.
- Monitor Prejob safety review records and reporting program.
- Collaborate with I.T and suppliers to ensure staff have necessary uniforms, PPE, equipment, accounts, system access and training, both for new and existing staff.
- Monitor and provide assistance for the efficient closure of punch list actions and monitor all regular meeting forums, agendas and schedules.
- Track agreement renewal timelines and plans to ensure sectional services continue without interruption.
- Oversee and support the prompt submission of unionized hourly payroll via COMPASS.
- Other duties as assigned.
Skills & Qualifications:
Essential
- Post-Secondary School education in Business.
- Proficient computer skills using Microsoft Office.
- Excellent analytical skills and the ability to manage complex conflicting priorities.
- Strong organizational and teamwork skills coupled with excellent verbal and written communication skills.
- Demonstrated initiative and attention to detail in the absence of direct supervision.
- Demonstrated proficiency in the area of Industrial Maintenance management and related administrative functions, such as work orders, packing slips, emergency ebids and outline agreements.
