EXECUTIVE ASSISTANT AND BOARD RELATIONS
FULL-TIME TEMPORARY - ALMONTE, ON

Carebridge Community Support (CCS) and Community Living Association - Lanark County (CLA) are
seeking an Executive Assistant and Board Relations professional who will be a key member of the
Executive Leadership team and Alliance between the two Agencies. Working together, we envision a
day in Lanark County when everyone we support will enjoy a place of well-being, respect, opportunity,
and contribution to our communities.

The Executive Assistant is responsible for a wide variety of administrative duties in support of the Chief
Executive Officer (CEO), other senior management members and the Board of Directors. Duties include
but are not limited to drafting both internal and external correspondence, arranging travel plans, meeting
minute-taking and distribution, and scheduling appointments.

This is a temporary contract (Maternity Leave replacement) starting in approximately June 2023 and
ending in August 2024.


SUMMARY OF JOB DUTIES:

  • Provide direct administrative and office management support to all members of the executive
team.

  • Maintain work schedules and calendars of executive management, particularly the CEO.
  • Prepare draft communications, reports, background documentation, and research for the CEO

- and Board.
  • Prepare travel schedules, book travel arrangements, and make reservations for senior
- management and executive staff as needed.
  • Coordinate logistics of executive team programs including meetings, seminars, workshops,
- special projects, and events.
  • Review all documents, reports, and correspondence prepared for executive signatures for
- format, content, grammar, spelling and make edits, as necessary.
  • Obtain all necessary signatures from the executive team, Board members and Committee
- members, for legal documents, contracts, etc.
  • Respond to Board, staff, public and telephone enquiries in the CEO's absence.
  • Troubleshoot and/or escalate office administration issues.
  • Review, evaluate, and distribute priority correspondence and mail for executive team.
  • Prepare and review presentations.
  • Present a positive and professional image of the executive office to all visitors, suppliers,
- inquiries, and other persons.
  • Assist where requested and when time is available, with the Maintaining of fundraising
- databases, annual mail out campaign and other fundraising activities that are supported by staff.
  • In collaboration with others, coordinate routine IT related issues with the IT support contractor.
  • Special projects from time to time.
  • Other duties as assigned.

BOARD RELATIONS:

  • Drafting, preparation, printing, distribution, filing and bringforward itemizing of correspondence
and other materials for the Board as directed.

  • Taking, composing, editing, distributing, filing and bringforward itemizing of Minutes for Board,
Committee and other meetings as requested.

  • Assisting with the preparation, production and distribution of the Annual Report.
  • Assisting with the organization of Board meetings and the Annual General Meeting.

EDUCATION, SKILLS AND ABILITIES:

  • Post-Secondary Diploma in Office Administration, or relevant discipline.
  • 57 years' experience in an Administrative role preferred.
  • Strong knowledge of office procedures and practices.
  • Keen attention to details.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
  • Robust interpersonal and communication skills (verbal and written) and demonstrated team

- player attitude.
  • Demonstrated ability to multitask, prioritize workload, work independently and be selfdirected.
  • Ability to problem solve.
  • Ability to maintain a high level of ethical standards.

MANDATORY REQUIREMENTS:

  • A Criminal Record Check for the Vulnerable Sector within the last 6 months is required.
