Description

The Program Support Specialist (PSS) provides front-line administrative and organizational support to the Associate Deans (AD's), students, faculty, faculty advisors, and coordinators for programs within the Faculty of Applied Science and Technology.

Reporting to the Associate Dean, Faculty of Applied Science and Technology (FAST), the incumbent's responsibilities include maintaining the operational flow of activities for programs and processes to ensure organizational and program continuity and providing administrative support to various governance and academic committees.

The incumbent communicates, researches, organizes and provides program information and support throughout Sheridan and for the Faculty for the purposes of supporting students, planning, problem solving and decision-making.

The incumbent is also responsible for planning and coordinating semester program activities, Faculty/School projects, events and outreach activities. The incumbent works closely with agencies, internal/ external stakeholders and organizations to provide information linkages. Given the confidential and private nature of the information that the Specialist must handle, the incumbent is expected to exercise discretion and adhere to Sheridan's policies (e.g. Privacy), legislation (e.g. Freedom of Information and Protection of Privacy Act), guidelines and practices when handling students' personal and confidential information.

What You'll be Doing

Responding to student and other stakeholder inquiries about programs, curriculum and admission requirements;
Providing front-line support to assist students by answering inquires and directing them to proper departments and processes when appropriate;
Preparing and extracting reports from Student Information System (PeopleSoft) (class lists, address lists, attendance lists, grade rosters, academic status sheets) for administrative analysis and planning;
Investigating and resolving general student problems and concerns;
Advising and providing guidance to receptionist and part-time staff to support day-to-day operations of the office;
Assisting in booking student and other types of appointments and meetings for program coordinators, academic advisors and the Associate Dean through their on-line calendars;
Liaising with course leads and faculty to identify effect changes to course outlines through the Sheridan Academic Logistics (SAL) system as well as book order requirements placed through the Sheridan bookstore;
Planning and organizing the scheduling and arrangements of program-related and departmental events (e.g.

Program Advisory Council Meetings, Progression meetings, awards' evenings, orientation, Open Houses) which involves working independently to solicit, produce and issue documentation (e.g.

grade worksheets, for such meetings);

Prepareing and curating documentatioin to support the curriculum change and development process as well as processing and tracking information needed to support academic integrity and student success.

Other related duties as assigned.

Your planning and coordination skills allow you to prioritize multiple activities while staying organized and maintaining a high level of attention to detail.

You enjoy working independently and as part of a team in a fast-paced environment.

You demonstrate excellent judgement, initiative and creative problem-solving skills.


3-year diploma or degree in Business Administration, Office Administration, Humanities or a related field, along with a minimum of 3 years experience in Customer Service or Office Administration (or an equivalent combination of relevant education and experience).

Intermediate level of computer software skills (e.g. Microsoft Office, spreadsheets, database management, internet research, Outlook) with ability to adapt to changes in software from PC and MAC platforms.

Experience in program coordination in a post-secondary environment is an asset.

Experience with PeopleSoft and Sheridan Academic Logistics system is considered an asset.
