The Retail Administration Coordinator is responsible for providing assistance / clerical support to the Store and Department Managers in a professional, accurate and timely fashion.
The Coordinator demonstrates adherence to all Food Safety Protocols, Standard Operating Procedures, corporate policies, Health & Safety, and other relevant programs and initiatives.
The Coordinator demonstrates excellent teamwork, interpersonal skills and commitment to the success of the Thrifty Foods team. Actively contributes to a positive and productive working environment.Here's where you'll be focusing:
- Update SMART Board weekly with pertinent information
- Maintain reports and filing by accurately inputting sales and wage cost data to assist managers in calculating gross margins
- Attend meetings, transcribe minutes, prepare memos, letters and spreadsheets, as required
- Coordinate Performance Management process to ensure timely completion and followup as required
- Assist with hiring process and employee onboarding (training/orientation)
- Liaison with Human Resources; ensuring paperwork is sent to the appropriate individual
- Maintain and participate in the WIC Scheduling rotation
- Prepare Incident reporting for customer and product complaints
- Coordinate Food Safety Thermometer Calibration log, review weekly SOP's and ensure staff are updated on Food Safe Refreshers
- Maintain training and floor log reports to ensure staff are up to date
- Chairperson or member of Joint Health and Safety Committee
- Assist Store Managers with completing Medgate entries, customer incidents, WCB forms/Return to Work entries and filing
- Perform and record weekly water valve inspections
- Coordinator of donation requests
- Manage Gifts Online program
- Act as the Food Safety Champion for the store
- Perform the weekly Food Safety Audits
- Run Promo Mix reports weekly and at Period end
- Review reports and provide support to the Management Team
- Assist in the 2 Engagement Goals
- Participate in all survey rollouts, and survey result feedback sessions
- Manage and maintain filing of employee records, reports and logs to support operations & audit processes
- Sort and distribute mail and other communications to addressees
- Orient new Managers to office procedures
- Assures & monitors office supplies and equipment functionality
- Communicate directly with managers to determine ongoing individual needs and provide assistance and clerical support
- Adhere to all Food Safety Protocols, Standard Operating Procedures, Health and Safety, corporate policies, and other programs and initiatives (for a clerk)
- Other duties as required
What you have to offer:
- Retail experience, particularly in multiple departments
- Minimum of 18 months of experience in Administration or equivalent
- Minimum of 12 months supervisory experience
- Must have an understanding of the following systems: ZSIR, RAW, FIM, Kronos, and CCTV
- Must have knowledge in Medgate, Periscope, ISP and Gifts online
- Must have a thorough knowledge of Engagement
- Have a thorough understanding of OES and SES
- SMART Board and conditions scorecard
- Excellent organizational skills with the ability to determine priorities, multi task and meet deadlines
- Demonstrates professionalism, integrity, effective judgment and decision making skills
- Thorough knowledge of Thrifty Foods policies and procedures
- Excellent customer service and communication skills; working with both individuals and groups
- Excellent problem solving skills
