_ Position Overview:
_


Reporting to the Property Manager, the Bilingual Property Administrator works very closely with the Property Managers, Building Managers, and all operational staff in providing support for the residential buildings.

The incumbent is accountable for the management of the property portfolio assigned and must ensure that corporate policies and procedures are adhered to in always delivering quality service.


_ Requirements for success:
_


  • High school equivalent with some postsecondary education
  • Minimum of 2 years' experience in office administration or customer service
  • Fluent communication and written skills in English and French
  • Excellent customer service and listening skills
  • Good knowledge of computer software systems (Outlook, Word, Excel, SharePoint)
  • Ability to work independently and in a team environment
  • Good organizational skills with ability to multitask
  • Ability to follow practices and procedures and recommend improvements
  • Good analytical skills, problemsolving skills, and decisionmaking ability

_Your new roles and responsibilities:
_


_ __Property administration:
_**- Support Property Manager with portfolio inquiries and needs (i

e:
resident inquiries, researching background material)

  • Obtain quotes, prepare, and review service contracts and renewals
  • Create, review, and prepare purchase orders
  • Review invoices
  • Prepare reports and update records, including bonus, capital work and budgets
  • Prepare legal resident notices
  • Coordinate as primary contact for corporate accounts (i

e:
phone provider, uniforms)

  • Coordinate document translations
  • Support staff schedules and vacation requests

_Corporate responsibilities:
_


  • Welcome and greet visitors in person or on the telephone, and answer or refer their inquiries
  • Update and maintain internal databases and records
  • Receive and distribute mail, courier, and faxes
  • Monitor and maintain inventory of all office supplies and photocopy service
  • Reconcile monthly courier invoices, petty cash, and log monthly Visa statements
  • Set up and maintain new vendors in database
  • Coordinates weekly oncall schedule for site staff
  • Support sites in obtaining tenant insurance policies
  • Maintain employee kitchen area (i.e., supplies and dishwasher)
