Reporting to the Director, Communications, Volunteer Services and Centre of Education and Organizational Development, the Volunteer Services Specialist is responsible for providing services in all aspects of volunteer management which include recruitment, selection, onboarding, recognition and retention.


The Volunteer Services Specialist will provide leadership and direction to the volunteer program, including attracting and retaining high quality volunteers.

This position will also develop, implement and evaluate of an innovative, customer-focused volunteer program.


As part of the Volunteer Services, Spiritual Care and Conference Place team, the Volunteer Services Specialist works in collaboration with team members to support various initiatives across the team, portfolio and hospital.


KEY DUTIES AND RESPONSIBILITIES:
The Volunteer Specialist is a highly collaborative leader, adept at building partnerships with staff at all levels.

As a champion of volunteers, this role will identify and integrate safe, volunteer best practices into daily activities to ensure volunteers have a meaningful experience and create a positive impact across our programs and services.


Key duties include:

  • Coordinate all activities as they relate to the Volunteer Involvement cycle from recruitment to retention.
  • Develop and prepare materials including, volunteer handbook, orientation presentation, newsletters, training materials, and mandatory documents.
  • Develop and revise volunteer position descriptions and identify skills, abilities and other qualifications required to fill volunteer role.
  • Ensures the development and maintenance of relevant hospital policies, procedures and practices to guide service delivery.
  • Perform administrative functions, database management, scheduling volunteers, statistic reports.
  • Coordinates all hospital requests for volunteers.
  • Conduct regular reviews of volunteer programs and make enhancements where and when necessary.
  • Participate in external community functions to promote the volunteer program at the hospital.
  • Lead activities in recruitment and selection, orientation, placement, training, recognition and evaluation to ensure volunteers feel supported and appreciated in their role.
  • Provide effective supervision, leadership and direction to the volunteers. Promote training and development opportunities for volunteers that are consistent with program objectives.
  • Develop and implement general and targeted recruitment strategies to attract the volunteers needed to advance our programs.
  • Create and implement evaluation tools on a regular basis both formally and informally to measure impact and evaluate their experiences.
  • Monitor service delivery frameworks against developing trends within the profession and make changes to promote improved service delivery.
  • Establish solid working relationships with internal and external stakeholders and colleagues to create more opportunities to volunteers.
  • Qualifications Required and Preferred
  • Certificate in Volunteer Management form an accredited program
  • University degree, college diploma or certification in a related field
  • Membership in relevant local and provincial associations for volunteer resource management
  • Certification as a Certified Volunteer Resource Manager (CVRM) highly desired
  • Working knowledge of current trends in volunteer management and health care
  • Ability to work occasional evening/weekend conference and functions such as special event meetings, recruitment activities and hospital events.

YEARS OF EXPERIENCE:
5+ year's progressive experience in volunteer management
Experience within a mid-size, unionized environment


KNOWLEDGE:
The Volunteer Specialist has a firm knowledge of volunteerism and best practices in the profession of volunteering. This individual has knowledge of current Canadian trends of volunteerism and any applicable legislation.
