The Medical Affairs Coordinator plays a central role in supporting and coordinating services related to the management of the main portfolios under

Medical Affairs:
Patient Flow, Research, and Medical Affairs.

The incumbent will make effective decisions related to the identification, analysis, problem-solving and distribution of presenting issues in any areas governed by Medical Affairs.

The Medical Affairs Coordinator will be a skilled communicator able to demonstrate flexibility, efficiency and diplomacy when working with internal and external partners.

This role will project and anticipate the needs related to meeting obligations of the portfolio, and identify outcomes, using critical thinking and detailed planning skills.

Administrative support will be a portion of this position, as well as the referral of issues emerging from the initiatives and programs that fall within the Medical Affairs, Patient Flow & Research Portfolio.


Education and Experience

  • Bachelor of Health Care Administration, or equivalent combination of education and experience
  • Experience with staff and physician recruitment
  • Knowledge of Canadian medical school system and college licensing requirements
  • Knowledge of credentialing processes, bylaws, and regulations as per the _Public Hospital's Act_
  • Knowledge of relevant legislation and professional standards pertaining to Patient Flow and Research
  • Minimum 3 years working in a healthcare environment and/or hospital setting
  • Experience with Research Administration in Southeastern Ontario, including use of the TRAQ system, research financial management and understanding of HSREB is an asset

Position Duties & Responsibilities:


  • Actively seeks to find and develop efficiencies in administrative processes within the portfolio
  • Streamline opportunities that arise in all portfolio systems, and is dedicated to supporting the implementation and evaluation of those opportunities across the portfolio
  • Supports project teams to streamline and improve processes
  • Organizes and collaborates with departments, leads, and physicians to assist in special projects, initiatives and targeted events
  • Monitors, tracks, coordinates and communicates project initiatives to team members and stakeholders in a timely and clear fashion
  • Demonstrated commitment to ongoing change management principles and strategies, and continuous process improvement across the full portfolio
  • Acts as liaison between stakeholders and program/project leadership related to information gathering and dissemination of information for Medical Affairs, Patient Flow and Research
