PAYROLL COORDINATOR


As a TRAXX Payroll Services team member reporting to the Manager, Payroll and Benefits, the Payroll Coordinator will assist with day-to-day payroll and administrative duties.

The payroll coordinator will know the Canada Labour Code, provincial workers' compensation (BC/AB), and Service Canada requirements.


To meet their needs, the Payroll Coordinator will possess excellent communication skills to interact collaboratively with our workforce of motor coach operators, maintenance personnel, support services, and third-party partners, including HR staff and other employees.


In this semi-monthly payroll environment, which requires strong attention to detail, you will work against tight deadlines with high volumes of work.

Participate frequently in virtual video conferences on platforms like MS Teams to establish effective relationships with peers and leaders.

Your professional will support the implementation of a new HRIS and work closely with stakeholders to ensure seamless integration while modernizing payroll processes and using payroll platforms.


KEY RESPONSIBILITIES

Lead and process accurate and timely semi-monthly payroll processing for approximately 150 employees in 3 provinces within multiple (6) legal entities.


  • Enter, calculate, maintain, and validate information in payroll reports and payroll system. Information includes employee hours and rates, salaries, gratuities, bonuses and other compensation, time worked, paid leave and holidays, deductions, and employee information changes. Import and reconcile in Sage 300 for multiple legal entities.
  • Reconcile and report payments and initiate EFT funding requests when required. Manually update payroll systembased variance reports.
  • Track and validate the accuracy and completion of time sheet entries in TNS. Investigate discrepancies where required for billing and payroll.
  • Create and maintain electronic payroll and employee files in the payroll system and SharePoint.
  • Perform various sophisticated duties in preparation for payroll processing and maintenance of payroll data, salary changes, tax payments, allowances, benefit calculations, and averaging agreements.
  • Research, analyze, and retrieve data to prepare and maintain payroll records, summaries, and reports.
  • Perform and support yearend processes, including audits, T4 season, and year end reconciliations.
  • Ensure payroll documentation and procedures are followed and maintained, periodically review and update SOPs (Standard Operating Procedures).
  • Research, plan, test & implement legislative changes related to payroll, make vital system and process updates, and collaborate closely with Payroll vendors as needed.
  • Assist with other quarterly, monthly, and yearend report balancing, reconciliation, and remittances, including but not limited to WCB, Health Tax, Quarterly SUI tax filings, expat reconciliations, etc.
  • Create records of employment (ROE) and associated reports.
  • Perform basic reconciliations and analysis in Excel or other systems.
  • Maintain professional development and stay current on legislative changes.

WHAT WE ARE LOOKING FOR

  • 35 years of fullcycle Payroll Processing experience (Canada).
  • Postsecondary diploma or equivalent combination of education and experience.
  • Strong sense of logic and an aptitude for mathematics.
  • Solid understanding of payroll processing, tax principles, and employment standards legislation.
  • Payroll processing for a large selection of Canadian provinces is an asset.
  • PCP with NPI (National Payroll Institute) a plus, highly recommended.
  • Experience with systems like Sage 50, Sage 300, Ceridian, ADP or BambooHR.
  • Experience with large thirdparty payroll providers like ADP, Ceridian, UKG.
  • Excellent time management skills with the ability to focus within a busy environment.
  • High attention to detail, accuracy, efficiency, and ability to handle multiple priorities.
  • Ability to work under pressure against tight deadlines.
  • Able and willing to participate in Teams, Zoom, Webex or other conference platforms on camera.

WAGE:
$55,000 - $60,000 per year
