    Vantage is seeking a motivated individual for the Paralegal role within the Legal Department team. The ideal candidate should possess a proactive approach, a business-oriented mindset and a strong attention to detail. Collaboration with various departments including Legal, Construction, Operations, Leasing, and Finance is crucial for contract and document analysis. Candidates with experience in legal departments or law firms, a drive for business growth, and a focus on continuous improvement are encouraged to apply.

    Essential Job Functions

    • Manage legal documentation for the Legal Department.
    • Draft, review, and analyze commercial contracts and proposals for validation before finalization.
    • Assist in preparing and executing work authorizations while ensuring alignment with contracts.
    • Coordinate contract processes and serve as the primary contact for the Legal Department.
    • Collaborate with various Vantage departments to enhance operational processes.
    • Ensure company compliance with relevant laws by working closely with the Legal Department.
    • Support legal department objectives by liaising with other departments within Vantage.

    Duties

    • Review scopes of work to identify conflicts with existing agreements.
    • Act as a liaison between multiple Vantage departments for legal, contract, financial, and compliance matters.
    • Analyze vendor quotes and change order requests.
    • Prepare reports to monitor contract progress.
    • Administer onboarding procedures and document workflow.
    • Develop tools and templates to improve efficiency.
    • Update legal templates and corporate processes for various departments.
    • Assist in legal policy initiatives and contract management.
    • Conduct legal research and document translation as needed.
    • Maintain the Canadian legal calendar and insurance certificate records.

    Job Requirements

    • Minimum 5 years experience in contract administration, analysis, or paralegal roles.
    • Proficiency in enterprise resource planning or contract management software preferred.
    • Background in the construction industry is a plus.
    • Strong written and verbal communication skills.
    • Ability to understand and interpret legal and technical documents.
    • Excellent organizational and time management abilities.
    • Proficient in Microsoft applications, DocuSign, and SharePoint.
    • Strong integrity, credibility, and ethical standards.
    • Fluency in both French and English.

    Bilingualism (French and English) is essential for this role to facilitate daily interactions with counterparts in US-based departments communicating in English. Regular document translation is also expected.

    Please note: This position is based in Montreal and Quebec.
