Job Summary


This position is responsible for organizing, supervising, and overseeing Student Housing and Community Services (SHCS) tool crib and Storekeeping staff and their work function.

This includes working with relevant SHCS staff members and departmental colleagues on the connected systems of tracking, sourcing, receiving, storing, repairing, and distribution of tools, equipment and other supplies.

This position consults with colleagues and unit leads on inventory control of tool crib and stores for Student Housing and Community Services, overseeing the tasks assigned to their unit from these collaborations.

They provide expertise and consult on tools, equipment, supplies, budgets, and the timely upkeep of data/invoicing processes with relevant SHCS units and direct Stores staff in alignment with these decisions.

Organizational Status

Reports to the Associate Director, Facilities.

Work Performed


Supervises, organizes and allocates the work of assigned staff engaged in operating a central tool crib and the receiving, storing, distribution, upkeep, training, and inventory control of tools, equipment, furniture supplies and related materials.

Supervises, organizes, collaborates, and participates in training workers as necessary on relevant Stores topics or requirements.

Addresses complex stores issues by initiating appropriate and compliant action to correct or provide guidance.

Makes suggestions on efficient work practices with supporting metrics from lessons learned or root cause analysis from ongoing stores issues.

Organizes, tracks, consults on, documents or performs the work of Tool Crib/Store Operators as needed.


Oversees, or collaborates, in the upkeep of the physical and recorded inventory system for tool crib/store items with relevant SHCS units.


Evaluates stock levels and appropriate purchase costs as outlined in established procedures and policies and by manual and electronic documentation.

Maintains optimum stock levels through consultation, and exercising judgement, when ordering and following-up on orders.


Prepares cost estimates for jobs, works with purchasing, or department leads to support procurement of items, and/or order required materials.

Meets with sales representatives to discuss and evaluate products, to support selection recommendations to department leads or purchasing groups. Supports project supplies, procurement, and support as requested.


Helps create, upkeep, and check to ensure that work is completed in accordance with procedure and process guides, requirements, and specifications.

Monitors and reports on fleet and vehicle staff in relevant stores operating areas on required guidelines and regulations.

Overseas and is responsible for operating recycling systems in relevant stores and support spaces, including but not limited to metals, batteries, cardboards, and chemicals.


Collaborates with relevant SHCS units and colleagues on maintaining work system related records on timekeeping, costing, tools, equipment, supplies, and work assignments via SHCS systems and methods.


Ensures that employees under their jurisdiction work in a correct and safe manner and in accordance with all normal safety standards and practices and university and departmental policies and procedures.

Ensures that tools, equipment, furniture, supplies and other related materials are maintained in good safe working conditions.

Communicates with customers as required to ensure high quality and efficient delivery of service.


Carries out any other related duties as required in keeping with the qualifications and requirements of positions in this classification.

Makes decisions regarding the organization and allocation of work and acceptability of work performed for assigned area and/or staff; inappropriate decisions may result in service delays and costs.
