Overview of Position
The Administrator, Investor Services Support is a supportive role to the Corporate & Investor Services Team.

Their primary purpose is to support the operations of the projects and business by providing effective internal client service and execution of administrative activities.


The Administrator, Investor Services Support is responsible for administrative aspects that are vital to the investor subscription, settlement and funding processes.

They are expected to be knowledgeable about the operational process and risk management. This position will be working in a collaborative team environment, performing duties that are the backbone of operational achievement.


Responsibilities

  • Support the Investor Services team and respond to inquiries in a timely and professional manner.
  • Managing the customization of subscription documents and other projectrelated forms.
  • Uploading and maintaining compliance and project documentation on the appropriate systems.
  • Efficiently manage fundingrelated tasks including timely followups on transfers, processing of cheques, and other deposits.
  • Ensuring documentation and project deadlines for all subscriptions.
  • Assisting in various corporate efforts such as quarterly statements, secondary transfers, estates, distributions, as well as ongoing training and development initiatives.
  • Producing and reviewing all project related subscription and compliance documentation.
  • Preparing investor documentation for third party review.
  • Utilizing appropriate tools and systems to organize and keep track of information and work in progress.
  • Perform general administrative duties such as filing, photocopying and collating documents, scanning, and labeling.
  • Regular reporting to Director, Corporate & Investor Services status of outgoing and incoming subscription packages and closing documents.
  • Participate in recommendations for improvement to business processes.
  • Resolving issues and effecting team requests expeditiously and accurately, escalating issues to Director, Corporate & Investor Services when appropriate.
  • Accumulate necessary documents accurately for senior management and clients to review.
  • Perform additional responsibilities as required.

Qualifications

  • Up to 2 years of financial services experience.
  • Proficient in Microsoft Office Word, Excel, and Outlook.
  • Attention to detail.
  • Exceptional organizational and multitasking skills.
  • Ability to demonstrate a highly proficient level of accuracy in data entry.
  • Strong attitude towards teamwork.
  • Comfortable working independently.
  • Strong written and verbal communication skills, as well as telephone etiquette.
  • Comfortable initiating communication with potential and existing clients to assess needs.
  • Able to work nontraditional hours when required.
