Position Overview


This position will support the Operations Team Leaders and Supervisors for both the Patient Transfer Division and Schools Division equally.

Under mínimal supervision, the Administrative Assistant will provide exemplary administrative support, performing a wide range of administrative activities and tasks and ensures the smooth flow of incoming and outgoing communications.

They will handle complex assignments using independent judgment facilitating effective and efficient flow and processing of information and work associated with the day-to-day operations as assigned.

This position is based in London, Ontario and is not fully remote, but may qualify for a hybrid work option.


Primary Responsibilities

  • Provide scheduling support including but not limited to: maintaining and managing team calendars, booking travel and scheduling meetings; arranging meeting space or virtual meeting tools; developing staff meeting agendas, ensuring that any followup actions resulting from the meeting are documented and completed.
  • Complete expense reports for processing and filing in a timely manner.
  • Understands business etiquette; interacts and works successfully with senior leaders of customers and suppliers to ensure that customer needs are addressed while balancing other responsibilities
  • Makes sound choices in ambiguous situations; solves issues with reason and remains calm in times of crisis
  • Opens and distributes incoming mail and other deliveries
  • Coordinates the flow of information internally and with other department
  • Demonstrates the highest level of confidentiality in the execution of all responsibilities.
  • Completes administrative activities and tasks in a professional and timely manner.
  • Order and maintain stationary and additional supplies
  • Data entry and compiling data and statistics into reports, preparing presentations for team meetings
  • Recording minutes and meeting summaries
  • Other duties as required

Requirements:


Knowledge & Skill Requirements

  • Postsecondary education, preferably in a related field
  • 12 years of similar experience in the field or related area
  • Advanced knowledge in MS Office, Microsoft Work, PowerPoint, and Excel
  • Strong organizational, project management and problemsolving skills with impeccable multitasking abilities
  • Excellent written and verbal communication skills
  • Exceptional interpersonal, organizational and time management skills
  • Friendly and professional demeanor
  • Ability to work under pressure in a fastpaced environment
  • Ability to manage Social Media pages, adding & monitoring content, would be an asset
