As a Print Services Representative, you'll be the go-to expert, consulting with clients to understand their needs, recommending the best print solutions, and ensuring seamless production from start to finish.

Key Duties
Explain price structures, cost estimates, and outlines options and alternatives.
Consults with departments to understand the needs and recommends the best print solution option(s) to fulfil the goals.

Manages print production by obtaining job specifications in complete detail, identifying clear proof and delivery due dates, and communicates accurate and realistic schedules to the department based on production requirements.

Maintain ongoing communication with both the customer and shop personnel while work is in progress, keeping both sides informed of changes or new information affecting production, and ensuring all work is accurate and meets company and customer standards.

Provides, customer service, and first point of contact for all print requests.
Receives, consults and records requests from departments. Generates and allocates production ticket with specifications.
Prepares estimates, invoices, and generates monthly activity reports.
Responsible for all docket information and electronic files
Controls inventory, requisitions, and purchases materials and supplies within limits of established authority (p-card, blanket agreements, and general stores)
Researches and sources new and/or replacement vendors for specialty products, and/or production/product issues
Manages out-sourced production, requests quotes, verifies supplier/vendor invoices, manages timelines and quality and records all jobs in the system.
Designs and creates fillable forms in Adobe as required.
Sets up print jobs and undertakes quality control for print services and operations.

Operates laser printers, large format printers, and production copiers to reproduce letters, reports, statements, manuals, and other various specialty work.

Maintains and troubleshoots equipment, collaborates with employees for solutions, makes service technician call as required.
Follows job ticket and other instructions accurately and produces all work to specification and on schedule.
Follows work procedures, performs preventative maintenance, and keeps equipment and work area neat and clean.
Reports time and materials usage accurately
Provides coverage for mail clerk and Print Services Graphic Designer as required.
Oversees receipt, process, verification, reconciliation, and payment of invoices.
Monitors office supply inventory, requisitions and purchases within limits of established authority

Education, Certification, and Experience
Completion of secondary or equivalent combination of education, training
Minimum of two years' experience in Digital Print, Large Format Digital, and Bindery processes
Strong computer skills, Excel, PrintSmith or equivalent productions system
Proficient skills using Adobe pro and Creative cloud apps.
Knowledge of Offset printing is an asset.
Driver's Licence Class 5

Knowledge
Knowledge of print services and customer/client services
Knowledge of methods, standards, procedures and operation of print services, duplicating, and finishing equipment
Knowledge of specific branch as well as the broader division/departments and interrelationships for project and service delivery
Knowledge of relevant collective agreements, bylaws, policies and procedures, and legislation, including health and safety standards
Knowledge of job-related office productivity software, internet browsers and search engines, enterprise software, discipline-specific software, and technology devices
