Responsibilities:


The Graduate Program Coordinator (Graduate Officer) provides leadership in the areas of academic and administrative support for all the graduate programs in the Faculty of Engineering, in conjunction with the Associate Dean, Graduate & Postdoctoral Studies, ensuring the success of the Faculty of Engineering Graduate programs.

The role identifies deficiencies in process and programming, and leads the development and implementation of new processes to address these concerns, improving the program offerings and administrative support across the Faculty.

In addition, the role ensures all Engineering Departments and graduate programs provide consistent and established support to provide the "best graduate student experience".

The Graduate Program Coordinator manages the implementation of the components of the graduate strategic plan and ensures compliance of the Graduate Teaching Assistants and Postdoctoral Associate collective agreements.


Qualifications:


  • Education:
  • University Degree in Administrative or Management studies or equivalent
  • Completion of postsecondary education/courses/training in data management/statistics, accounting, project management and leadership (e.g. Certificate in Management, Leader Effectiveness Training, or equivalent)
  • Preferred:_
  • Completion of a Master's degree in a related discipline (e.g. Business Administration, Education, Project Management)
  • Certified Project Management Professional
  • Completion of Mental Health First Aid, conflict management, cultural sensitivity and human resources courses/training
  • Experience:
  • 5 years' experience working in a graduate education environment with experience in graduate student administration, including student funding processes and scholarships
  • Experience working in a University or Post-Secondary environment working with students, faculty, staff and the community
  • Experience working through a professional accreditation process
  • 2 years' demonstrated experience leading teams and managing and/or coordinating a variety of projects
  • Preferred:_
  • Experience working with a culturally diverse client base
  • Experience with technology platforms and social media in a professional environment
  • Experience using advanced Excel functions for analysis.
  • Knowledge, Skills & Abilities:
  • Knowledge and familiarity with cross cultural student populations
  • Familiarity with national, international and provincial research funding agencies/organizations (especially NSERC) would be a strong asset
  • Strong math and analytical skills are with demonstrated ability to complete detailed analytics and reports
  • Excellent verbal and written communication skills, including the ability to communicate rational, educate, motivate, and influence behavior and confidence dealing with all levels of an organization
  • Ability to manage multiple projects efficiently and thrive in a highly dynamic environment
  • Familiarity with best practices in building a strong collaborative team and leading people
  • Competency to maintain confidentiality and treat sensitive information with discretion
  • Ability to work in a fastpaced environment, meet tight and competing deadlines, and adapt to growth and change
  • Detailoriented with an ability to function and process information with high levels of accuracy
  • Exceptional customer service skills to handle enquiries and resolve issues in a professional and timely manner
  • Demonstrated event management skills that include budgeting, travel logistics, etc.; Familiarity with large scale event planning and implementation
  • Demonstrated ability to build strong, collegial relationships with students, faculty, the public and colleagues across the University
  • Advanced proficiency in using Microsoft Office (Word, Excel, Outlook, and PowerPoint) and using databases is required; PeopleSoft and Cascade CMS are strongly preferred
  • Proven ability to work within a flexible schedule to accommodate Engineering's events and activities, and willingness to travel for recruitment marketing events (primarily in Canada) is required
