Ausenco has an exciting new opportunity for an Office Services Coordinator.
We are looking for a self-motivated person with impeccable attention to detail and who takes pride in all the work produced.
Key Responsibilities of the Role:
- General Reception duties such as; answering and transferring incoming calls, greeting clients in a friendly professional manner
- Receiving, clients, vendors, deliveries, and other visitors
- Provide administrative/secretarial support to the office.
- Administration assistance for other departments as needed
- Word processing of various documents into firm company formats including reports, updating resumes, meeting minutes and general correspondence from a wide variety of material.
- Maintain the professional appearance of the reception area and meeting rooms.
- Coordinating couriers and deliveries
- Handle meeting room booking and catering service
- Be informed of whereabouts of key staff
- Coordinate client arrivals and seminars.
- Look after building access
- Prepare various reports
- Process invoices
- Assist the Facilities Supervisor in various administrative duties
- Other duties as assigned.
Qualifications:
- Minimum of 3 to 5 years working in an administrative role. Formal office administration training would be an asset.
- Proficient MS Office, particularly Word, Excel and Outlook
- Some experience in creating and managing data and spreadsheets would be an asset
- Proven ability to multitask. prioritize work flow, and work confidently in a fastpaced environment
- Experience with procurement, purchasing, and supply coordination
- Health and safety administration experience is a plus.
- Highly organized with excellent time management Skills
- Displays initiative and resourcefulness in all aspects of the job
- Selfmotivated individual able to work independently with little supervision
- Excellent communication skills including well developed written and oral skills. In particular, proficiency with spelling, grammar and punctuation of the English language.
